Special room preferences will be communicated to the relevant accommodation providers and every reasonable effort will be made to accommodate them.
Unless expressly accepted under Section 2.2 or otherwise confirmed in writing by Veditalia, such requests cannot be guaranteed and do not form part of the contracted travel services.
5.3 Single Occupancy
Where a Traveler has selected single occupancy, an additional single room supplement of EUR 400 will apply, unless a different amount is expressly stated in this Booking Confirmation and Travel Contract. The supplement provides the Traveler with exclusive use of a room for one person.
It does not guarantee a larger room, an upgraded room category, a particular view or additional hotel services.
Room size, layout and features may vary between hotels.
5.4 Triple Occupancy
Where three Travelers are confirmed to share one room, the accommodation will be provided on a triple-occupancy basis.

The Official Insurance Documentation applicable to the available Travel Protection Formulas is provided or made available to the Traveler during the booking process, so that it can be reviewed before the booking is completed.
As the departure remains subject to the minimum group size requirement, the applicable insurance policy or certificate relating to the selected Travel Protection Formula will be issued in accordance with the procedures of the Insurance Provider following Veditalia’s confirmation that the relevant departure will operate. The policy or certificate will then be provided or made available to the Traveler.
The effective date and duration of each insurance guarantee are governed exclusively by the Official Insurance Documentation and the applicable policy or insurance certificate issued by the Insurance Provider.

The description of the Standard or Flex Formula contained in this Booking Confirmation and Travel Contract is intended only to identify the Travel Protection Formula selected by the Traveler and does not extend, modify or replace the applicable Official Insurance Documentation.
In the event of any inconsistency concerning the scope or operation of insurance coverage, the applicable Official Insurance Documentation and policy or insurance certificate shall prevail.
6.5 Insurance Claims following Cancellation
The inclusion of Trip Cancellation Insurance under the Flex Formula does not alter the Traveler’s contractual cancellation rights or the cancellation and refund provisions applicable under this Booking Confirmation and Travel Contract and the General Terms and Conditions.
If the Traveler cancels the package, any applicable cancellation amount will be determined in accordance with Section 9, the General Terms and Conditions and mandatory applicable law.
Where the reason for cancellation is covered by the applicable Trip Cancellation Insurance, the Traveler may submit a claim to the Insurance Provider for reimbursement of any eligible cancellation amount or other insured loss, subject exclusively to the terms, conditions, exclusions, deductibles or excesses, limits and claim requirements set out in the applicable Official Insurance Documentation.
The submission of an insurance claim does not suspend or modify the contractual consequences of the Traveler’s cancellation.
Insurance claims are assessed and administered by the Insurance Provider in accordance with the applicable Official Insurance Documentation.
Veditalia does not determine whether an insurance claim is covered and does not approve, reject or settle claims on behalf of the Insurance Provider.

| Deposit Amount | € [AMOUNT] |
|---|---|
| Payment Status | [PAID / DUE] |
| Payment Date | [DATE] |
The deposit forms part of the Total Package Price and will be credited towards the outstanding balance. It is not an additional charge.
The deposit is fully refundable for 30 calendar days from the date it is received by Veditalia.
If the final payment due date falls before the expiry of the standard 30-calendar-day refund period, the deposit refund period will end on the final payment due date.
Where Veditalia receives the Traveler’s written cancellation before the applicable refund period expires, the deposit will be refunded in full.
After the applicable refund period has expired, the deposit is no longer automatically refundable. Any amount retained or refunded following cancellation will be determined in accordance with Section 9, the General Terms and Conditions and mandatory applicable law.
For bookings made less than 60 days before departure, no deposit applies and the full Total Package Price must be paid at the time of booking.
8.3 Balance Payment and Bookings Made Less Than 60 Days Before Departure
For bookings made 60 days or more before the scheduled departure date, the outstanding balance of the Total Package Price must be paid no later than 60 days before departure.
| Outstanding Balance | € [AMOUNT] |
|---|---|
| Balance Due Date | [DATE] |
| Payment Status | [PAID / DUE] |
The Traveler is responsible for ensuring that the outstanding balance is received by Veditalia by the applicable due date.
If the outstanding balance is not received by the due date, Veditalia may request payment within an appropriate additional period where the circumstances and proximity of departure reasonably allow. If payment remains outstanding after any additional period granted by Veditalia, Veditalia may terminate the booking. Any amount due or refundable following such termination will be determined in accordance with Section 9, the General Terms and Conditions and mandatory applicable law.
For bookings made less than 60 days before the scheduled departure date, the full Total Package Price must be paid at the time of booking and no deposit/balance payment structure applies.
For such bookings, the Traveler may cancel within 7 calendar days from the date the full payment is received by Veditalia and receive a full refund, provided that the package has not already commenced.
After the expiry of the 7-calendar-day refund period, any cancellation will be subject to Section 9, the General Terms and Conditions and mandatory applicable law.
9. Cancellation by the Traveler
9.1 How to Cancel
The Traveler may terminate the travel contract at any time before the start of the package by notifying Veditalia in writing by email at [email protected].
Cancellation takes effect on the date on which the written notice is received by Veditalia.
9.2 Applicable Refund Periods
The applicable refund period depends on when the booking is made, as further described in Section 8:
- For bookings made 60 days or more before departure, the EUR 300 per Traveler deposit is fully refundable for 30 calendar days from the date it is received by Veditalia. If the final payment due date falls before the expiry of that 30-day period, the refund period ends on the final payment due date.
- For bookings made less than 60 days before departure, the full Total Package Price is payable at the time of booking. The Traveler may cancel within 7 calendar days from the date the full payment is received by Veditalia and receive a full refund, provided that the package has not already commenced.
Where Veditalia receives the Traveler’s written cancellation within the applicable refund period, the refund described above will apply.
9.3 Cancellation After the Applicable Refund Period
Once the applicable refund period has expired, the Traveler may still terminate the travel contract at any time before the start of the package.
Where the Traveler cancels after the applicable refund period, Veditalia may retain or charge an appropriate and justifiable cancellation amount in accordance with the General Terms and Conditions and mandatory applicable law.
The applicable cancellation amount will be calculated in accordance with mandatory applicable law. Where no standardized cancellation amount applies, it will correspond to the Total Package Price less the cost savings and income resulting from the alternative deployment of the relevant travel services. Any deposit or other amount already paid by the Traveler will be taken into account when determining the final amount due or refundable following cancellation.
Where the applicable cancellation amount is lower than the amount already paid, the Traveler will be entitled to the corresponding refund.
Where the applicable cancellation amount exceeds the amount already paid, the Traveler may remain responsible for the outstanding amount, to the extent permitted by the General Terms and Conditions and mandatory applicable law.
At the Traveler’s request, Veditalia will provide information regarding the basis on which the applicable cancellation amount has been determined.
Nothing in this Section limits any right of the Traveler to terminate the travel contract without cancellation charges where such a right is provided by mandatory applicable law, including in the circumstances set out in the General Terms and Conditions.
Any refund due to the Traveler following termination of the travel contract will be made without undue delay and, in any event, no later than 14 days after termination, subject to any applicable cancellation amount and mandatory applicable law.
9.4 Flex Formula and Cancellation Claims
Travelers who have selected the Flex Formula may be eligible to claim reimbursement of an eligible cancellation amount from the Insurance Provider where the reason for cancellation is covered by the applicable Trip Cancellation Insurance.
The existence of insurance coverage does not alter the cancellation and refund provisions applicable under this Booking Confirmation and Travel Contract and the General Terms and Conditions, or the calculation of any contractual cancellation amount due following cancellation.
Any insurance reimbursement is subject exclusively to the applicable Official Insurance Documentation, including its insured events, conditions, exclusions, limits, deductibles or excesses and claim requirements.
Insurance claims are assessed and administered by the Insurance Provider.
