These General Terms and Conditions govern the package travel contract between ACS S.r.l. (Veditalia) and the Traveler, and apply to every Italy in a Week booking.
Section 1 — Introduction
About These Terms
These General Terms and Conditions form part of the travel contract between ACS S.r.l. (Veditalia) and the Traveler.
They explain how bookings are made, how package holidays are organized and delivered, and the respective rights and responsibilities of both the Organiser and the Traveler.
Please read these Terms carefully before confirming your booking, as they form an integral part of the travel contract.
1.1 The Organiser
Your package holiday is organized by:

ACS S.r.l. organizes and sells package holidays in accordance with the applicable Italian legislation governing package travel.
1.2 Applicable Law
These General Terms and Conditions are governed by Italian law and by the European legislation applicable to package travel.
Where mandatory consumer protection rules provide the Traveler with greater rights than those contained in these Terms, those legal provisions shall prevail.
1.3 Definitions
For the purposes of these General Terms and Conditions:
Organiser means ACS S.r.l. (Veditalia), responsible for organizing and selling the package holiday.
Traveler/Guest/Participant means any person who purchases, intends to purchase or participates in a package holiday organized by Veditalia.
Package Holiday/Holiday/Tour/Experience means the combination of travel services purchased under a single travel contract.
Travel Contract means the agreement concluded between Veditalia and the Traveler.
Booking Confirmation and Travel Contract means the written confirmation issued by Veditalia following acceptance of the booking.
Departure Confirmation means the written communication issued by Veditalia once the minimum number of participants required for the relevant departure has been reached, confirming that the departure is scheduled to operate, subject to these General Terms and Conditions and applicable law.
Departure Date means the first scheduled day of the package holiday.
Tour Leader means the Veditalia representative responsible for accompanying and assisting the group throughout the itinerary.
Unavoidable and Extraordinary Circumstances means extraordinary circumstances beyond the reasonable control of either party that could not have been avoided even by taking all reasonable measures.
1.4 Acceptance of these Terms
By completing the booking process and expressly accepting these General Terms and Conditions, the Traveler confirms that, before being bound by the travel contract, he or she has:
- received or been provided with access to these General Terms and Conditions;
- had the opportunity to read and understand their contents;
- received the applicable pre-contractual information, including the relevant Package Travel Standard Information required under applicable package travel legislation;
- received the information necessary to make an informed booking decision;
- accepted these General Terms and Conditions as part of the travel contract.
Where one person makes a booking on behalf of one or more additional Travelers, that person confirms that he or she is authorized to make the booking on their behalf and undertakes to make the relevant contractual and travel documentation available to all Travelers included in the booking and to communicate to them any information relevant to their participation in the package holiday.
The conclusion of the travel contract remains subject to the Booking Confirmation and Travel Contract procedure set out in Section 2 of these General Terms and Conditions.
1.5 Contract and Related Documents
The travel contract consists of the following documents and information, as applicable to the individual booking:
- the Booking Confirmation and Travel Contract;
- these General Terms and Conditions;
- the Travel Information and Technical Sheet relating to the selected tour;
- any pre-contractual information which forms part of the travel contract under applicable package travel legislation;
- any specific requests or special conditions expressly accepted in writing by Veditalia; and
- any subsequent written amendments expressly agreed between Veditalia and the Traveler.
The Travel Protection Formula selected by the Traveler — Standard or Flex — shall be identified in the Booking Confirmation and Travel Contract. The applicable travel protection is included in the total package price.
During the booking process, the Traveler shall be provided with access to the insurance terms, conditions and pre-contractual documentation applicable to the available Standard and Flex Formulas, so that such documentation can be reviewed before the booking request is submitted.
Following confirmation that the relevant departure will operate and receipt by Veditalia of the Total Package Price in full, the applicable individual insurance policy or certificate relating to the selected Travel Protection Formula will be issued in accordance with the procedures of the Insurance Provider and provided or made available to the Traveler, together with access to the applicable Official Insurance Documentation.
The applicable Official Insurance Documentation exclusively governs the insurance coverage, including its effective date and duration, insured benefits and events, conditions, exclusions, limits, deductibles or excesses, assistance procedures, claims procedures and all other insurance-specific provisions.
Should any inconsistency arise:
- the Booking Confirmation and Travel Contract shall prevail with regard to the specific details of the individual booking and the Travel Protection Formula selected;
- the Travel Information and Technical Sheet shall govern the technical characteristics and general structure of the selected tour;
- these General Terms and Conditions shall govern matters of general contractual application; and
- the applicable Official Insurance Documentation shall govern all matters relating specifically to the scope and operation of the insurance coverage.
Any mandatory provisions of applicable law shall prevail in all cases.
1.6 Language
These General Terms and Conditions are provided in English and Spanish and form part of the travel contract in that language.
1.7 Customer Assistance
Providing attentive and reliable customer service is an essential part of the Veditalia travel experience.
Our Customer Support Team is available before departure to assist with booking-related inquiries, while our Tour Leaders and operational staff provide assistance throughout the journey whenever reasonably required.
Operational information, emergency contact details and practical travel information will be provided before departure as part of the travel documentation.
Section 2 — Booking & Contract Formation
Booking Your Tour
This section explains how a booking is made, when it becomes binding, the information required from the Traveler, and the documents forming the travel contract.
Our aim is to make the booking process clear, transparent and secure for every Traveler.
2.1 Booking Request
Bookings may be made through the official Italy in a Week website or, where expressly authorized by Veditalia, through duly authorized travel agencies or other approved sales channels.
The submission of a booking request does not by itself constitute acceptance by Veditalia. All bookings are subject to availability and to completion of the applicable booking requirements and shall become binding only once confirmed in writing by Veditalia in accordance with these General Terms and Conditions.
In exceptional circumstances, Veditalia may be unable to accept or confirm a booking, including where this is reasonably necessary for operational, legal, safety or other legitimate reasons.
2.2 Booking Confirmation and Travel Contract
An individual booking becomes legally binding once all of the following conditions have been met:
- the booking request has been accepted by Veditalia;
- the required deposit, or full payment where applicable, has been received; and
- Veditalia has issued the Booking Confirmation and Travel Contract to the Traveler.
Until the Booking Confirmation and Travel Contract has been issued, no travel contract shall be deemed concluded.
The Booking Confirmation and Travel Contract will set out the essential details applicable to the individual booking, including the selected departure, travel dates, services purchased, total package price, selected Travel Protection Formula, payment schedule and any specific requests or special conditions expressly accepted by Veditalia.
Confirmation of an individual booking does not, by itself, mean that the minimum number of participants required for the departure has been reached. The operation of the departure remains subject to the minimum participation requirements set out in these General Terms and Conditions until Veditalia confirms in writing that the minimum number of participants required for the departure has been reached.
If the minimum number of participants is not reached, Veditalia may terminate the travel contract in accordance with the provisions governing cancellation by Veditalia and applicable law.
Following Veditalia’s confirmation that the relevant departure will operate, the outstanding balance of the Total Package Price will become payable in accordance with Section 3.5. Once the Total Package Price has been paid in full, the applicable individual insurance policy or certificate relating to the selected Travel Protection Formula will be issued in accordance with the procedures of the Insurance Provider and provided or made available to the Traveler.
2.3 Departure Confirmation
Once the minimum number of participants required for the relevant departure has been reached, Veditalia will issue a written Departure Confirmation to the Traveler.
Veditalia will determine and confirm whether the departure will operate no later than 60 days before the scheduled Departure Date.
If the required minimum number of participants has not been reached by that date, Veditalia will cancel the departure and notify the Traveler in writing in accordance with Section 7.
For bookings made 60 days or less before the scheduled Departure Date, bookings may be accepted only for departures that have already been confirmed to operate.
The Departure Confirmation confirms that the departure is scheduled to operate, without prejudice to any subsequent modification or cancellation that may become necessary for reasons other than failure to reach the minimum group size, in accordance with these General Terms and Conditions or applicable law.
Following Veditalia’s confirmation that the relevant departure will operate, the outstanding balance will become payable in accordance with Section 3.5. Once the Total Package Price has been paid in full, the applicable individual insurance policy or certificate will be issued in accordance with the procedures of the Insurance Provider.
The effective date and duration of each insurance guarantee are determined exclusively by the applicable Official Insurance Documentation and the policy or certificate issued by the Insurance Provider.
2.4 Right to Refuse or Decline a Booking
Veditalia reserves the right to decline or refuse a booking request, or to refuse confirmation of a booking, where it reasonably considers that accepting the booking would be incompatible with the safe, efficient or proper operation of the package holiday.
Without limitation, this may include situations where:
- the Traveler fails to provide information reasonably required to organize the package;
- the Traveler refuses to comply with essential booking requirements or contractual conditions;
- the Traveler’s participation would reasonably be expected to compromise the safety, wellbeing or enjoyment of other Travelers;
- the Traveler requires assistance or services that cannot reasonably be provided within the nature of the package holiday and applicable safety standards;
- acceptance of the booking would expose Veditalia, its suppliers or other Travelers to unreasonable operational, legal or safety risks.
Veditalia shall exercise this right reasonably, in good faith and without unlawful discrimination.
Where a booking is declined before the travel contract has been concluded, any payments already received shall be refunded in full, unless the refusal results from fraudulent conduct or other circumstances that entitle Veditalia to retain sums under applicable law.
2.5 Accuracy of Booking Information
The Traveler is responsible for ensuring that all personal information provided during the booking process is complete and accurate.
This includes, without limitation:
- full legal names exactly as shown on travel documents;
- date of birth;
- nationality;
- contact details;
- emergency contact information where requested.
The Traveler shall carefully verify the Booking Confirmation and Travel Contract immediately upon receipt and promptly notify Veditalia of any errors or omissions.
Veditalia shall not be responsible for additional costs arising from incorrect or incomplete information supplied by the Traveler.
2.6 Minors
Veditalia does not accept bookings for unaccompanied minors.
Any Traveler under 18 years of age must travel throughout the package accompanied by a parent, legal guardian or another adult duly authorized by a parent or legal guardian.
Where a minor is included in a booking, the Lead Traveler is responsible for ensuring that any parental consent, identification or other documentation required by applicable law or by the relevant service providers is obtained and carried where necessary.
2.7 Special Requests
Travelers may communicate special requests at the time of booking.
Examples include, but are not limited to:
- dietary requirements;
- food allergies;
- mobility requirements;
- room preferences;
- medical considerations;
- other personal requests.
Veditalia will make every reasonable effort to accommodate such requests whenever operationally possible.
However, special requests do not form part of the travel contract unless expressly confirmed in writing by Veditalia.
Certain requests may depend on the availability and operational policies of hotels, transport providers or other suppliers and therefore cannot be guaranteed.
2.8 Medical Conditions and Reduced Mobility
Travelers requiring specific assistance, traveling with reduced mobility or affected by medical conditions that may significantly influence their participation in the tour are encouraged to inform Veditalia before completing their booking.
Providing this information in advance allows Veditalia to assess whether the selected itinerary is suitable and whether reasonable arrangements can be made.
Failure to disclose information that may materially affect the safe execution of the package may limit Veditalia’s ability to provide appropriate assistance during the tour.
2.9 Fitness to Travel
Italy in a Week is designed for travelers who are able to participate independently in the activities described in the Travel Information and Technical Sheet.
Many destinations included in the tour feature historic centers, uneven pavements, stairs, limited vehicle access and walking routes that may not always be suitable for travelers with significant mobility limitations.
Travelers should therefore be able to:
- walk independently for reasonable periods;
- board and leave the coach without personal assistance;
- manage their own luggage within reasonable limits;
- participate safely in the planned itinerary.
Travelers who are unsure whether the tour is suitable for their personal circumstances are encouraged to contact Veditalia before making a reservation.
Veditalia will always seek practical solutions wherever reasonably possible but cannot guarantee that the itinerary will be suitable for every Traveler.
2.10 Travel Documents
Each Traveler is solely responsible for obtaining and carrying all documents required for the journey.
Depending on nationality, these may include:
- passport;
- identity card;
- visas;
- entry authorizations;
- health documentation;
- any other documents required by the countries visited during the tour.
Travelers are responsible for verifying the applicable entry requirements before departure.
Veditalia does not provide VISA application services and does not complete, submit or manage visa or entry-authorization applications on behalf of Travelers, nor does it liaise with embassies, consulates or immigration authorities on their behalf.
Any general information provided by Veditalia concerning passport, visa or entry requirements is provided for informational purposes only. Travelers remain solely responsible for verifying the requirements applicable to their nationality and circumstances and for obtaining all required documentation within the applicable time limits.
Veditalia cannot accept responsibility for denied boarding, refused entry or additional expenses resulting from missing, invalid or incorrect travel documentation.
2.11 Travel Insurance
Every package holiday includes travel insurance according to the Travel Protection Formula selected by the Traveler, and the applicable travel protection is included in the Total Package Price.
Travelers selecting the Standard Formula receive the travel insurance coverage applicable to that Formula.
Travelers selecting the Flex Formula receive the travel insurance coverage included in the Standard Formula together with additional Trip Cancellation Insurance, subject to the applicable Official Insurance Documentation.
During the booking process and before submitting the booking request, the Traveler will be provided with access to the insurance terms, conditions and pre-contractual documentation applicable to both the Standard and Flex Formulas.
The Travel Protection Formula selected by the Traveler will be identified in the Booking Confirmation and Travel Contract.
Following confirmation that the relevant departure will operate and receipt of the Total Package Price in full, the applicable individual insurance policy or certificate will be issued in accordance with the procedures of the Insurance Provider and provided or made available to the Traveler.
The effective date and duration of each insurance guarantee are determined exclusively by the applicable Official Insurance Documentation and the policy or certificate issued by the Insurance Provider.
Travelers are strongly advised to read the applicable Official Insurance Documentation carefully, as it exclusively governs all matters relating to the insurance coverage, including its effective date and duration, insured benefits and events, conditions, exclusions, limits, deductibles or excesses, assistance procedures and claims procedures.
For any matter relating to insurance coverage, assistance or claims, Travelers should refer to the applicable Official Insurance Documentation and contact the Insurance Provider in accordance with the procedures indicated therein.
Insurance claims are assessed, administered and settled directly by the Insurance Provider. Veditalia does not determine whether a claim is covered, approve or reject claims, or determine the amount of any insurance reimbursement.
2.12 Travel Contract
Upon issuance of the Booking Confirmation and Travel Contract by Veditalia, the individual booking becomes binding and the travel contract is concluded in accordance with Section 1.5 of these General Terms and Conditions.
Confirmation of the individual booking is separate from the subsequent confirmation that the minimum number of participants required for the departure has been reached.
The Booking Confirmation and Travel Contract will set out the specific details applicable to the individual booking, including the selected Travel Protection Formula.
No verbal statement or informal communication shall modify the travel contract unless expressly confirmed in writing by Veditalia.
2.13 Documentation
Veditalia will provide or make available to the Traveler the documentation relating to the Italy in a Week package.
Before the booking is completed:
- Package Travel Standard Information
- General Terms and Conditions
- Travel Information and Technical Sheet
- applicable insurance terms, conditions and pre-contractual documentation
Upon confirmation of the individual booking:
Booking Confirmation and Travel Contract
Following Veditalia’s confirmation that the departure will operate:
Balance payment request / applicable payment instructions
Following receipt of the Total Package Price in full:
Applicable individual insurance policy or certificate
In good time before departure:
final operational information, emergency contacts, vouchers/tickets and final meeting/departure times.
Any subsequent updates to practical or operational information will be communicated to the Traveler as appropriate.
Travelers are encouraged to review all documentation carefully and to contact Veditalia promptly should any clarification be required.
2.14 Jurisdictional Booking Restrictions
Veditalia operates from Italy and accepts bookings subject to the laws and regulatory requirements applicable to the sale of its package holidays.
Veditalia may not accept a booking where the sale would require Veditalia to hold a license, registration or other regulatory authorization in the Traveler’s jurisdiction which Veditalia does not hold at the time of booking.
Until the relevant regulatory requirements have been satisfied, Veditalia is unable to accept direct bookings from persons resident in or otherwise purchasing the package from California, Florida, Hawaii or Washington.
Travelers located in one of these States may contact a licensed or duly registered travel advisor or travel agency in their State to determine whether that intermediary is able to arrange the booking in compliance with the applicable local requirements. The availability of this alternative is not guaranteed and depends on the regulatory status and arrangements of the relevant travel advisor or agency.
The Traveler must provide accurate information concerning their State of residence and billing address during the booking process.
Where a direct booking request is submitted from a jurisdiction in which Veditalia is not authorized to accept it, Veditalia will decline the booking request. No travel contract will be concluded and any amount already collected in connection with the unsuccessful booking request will be refunded without undue delay.
Nothing in this Section excludes or limits any mandatory rights or protections applicable to the Traveler.
Section 3 — Prices & Payments
Paying for Your Tour
This section explains how the package price is calculated, when payments are due, and how changes to the price may occur in exceptional circumstances.
Veditalia believes in transparent pricing. The package price is confirmed at the time of booking and will remain fixed, except for any price revisions expressly permitted under these General Terms and Conditions and applicable package travel legislation.
3.1 Package Price
The total package price is the amount confirmed in the Booking Confirmation and Travel Contract and includes the travel insurance coverage associated with the Travel Protection Formula selected by the Traveler (Standard or Flex).
Unless otherwise specified, the package price includes the services expressly identified as included in the Travel Information and Technical Sheet and Booking Confirmation and Travel Contract.
Any services not expressly identified as included shall be considered excluded from the package price.
The Total Package Price is fixed when the booking is confirmed by Veditalia, subject only to any price revision permitted under Section 3.9 and applicable law.
3.2 What Is Included
The package price includes, as applicable:
- accommodation as specified in the Booking Confirmation and Travel Contract and Travel Information and Technical Sheet;
- internal transportation described in the program;
- the services of the Tour Leader;
- local guides where indicated;
- meals specifically identified as included;
- the travel insurance coverage associated with the selected Travel Protection Formula (Standard or Flex);
- applicable taxes and charges included in the confirmed package price.
The specific services included in the Traveler’s booking are detailed in the Travel Information and Technical Sheet and Booking Confirmation and Travel Contract.
3.3 What Is Not Included
The package price does not include services or expenses that are not expressly identified as included in the itinerary, Travel Information and Technical Sheet or Booking Confirmation and Travel Contract.
In particular, unless otherwise specified, the following are not included:
- international flights and transportation to and from the tour starting and ending points;
- airport or other private transfers not expressly included in the itinerary;
- optional excursions, activities and services booked independently;
- meals and beverages not expressly included in the program;
- personal expenses and hotel extras;
- passport, visa and other entry-related costs;
- local taxes or charges payable directly at the destination, where applicable;
- gratuities; and
- any other service expressly identified as excluded or not included in the booking.
Independent Flights and Travel Arrangements
International flights and other transportation independently arranged by the Traveler do not form part of the Veditalia package.
As the operation of a departure remains subject to the minimum group size until the Departure Confirmation is issued, Travelers are strongly advised not to purchase non-refundable or non-changeable flights or other independent travel arrangements before receiving the Departure Confirmation from Veditalia.
Where a Traveler chooses to purchase flights before receiving the Departure Confirmation, Veditalia strongly recommends selecting an open, flexible, changeable and/or refundable fare, where available.
Any independently purchased flight or other travel service remains subject to the terms and conditions of the relevant third-party provider and does not form part of the package travel contract.
3.4 Deposit
For bookings made more than 60 days before the scheduled Departure Date, the Traveler is required to pay a deposit of €300 per Traveler at the time of booking.
The deposit forms part of the Total Package Price and will be credited towards the outstanding balance. It is not an additional fee.
Payment of the deposit does not mean that the minimum number of participants required for the departure has been reached. The departure remains subject to the Departure Confirmation procedure set out in Section 2.3.
Payment of the deposit does not by itself constitute acceptance of the booking request. The booking becomes binding only once Veditalia has accepted the booking and issued the Booking Confirmation and Travel Contract.
Upon receipt of the required deposit and confirmation of the booking by Veditalia, the Total Package Price applicable to the booking is fixed, subject only to any price revision permitted under Section 3.9 and applicable law.
3.5 Balance Payment following Departure Confirmation
For bookings made more than 60 days before departure, the outstanding balance of the Total Package Price will become payable once Veditalia has issued the Departure Confirmation.
The outstanding balance must be paid within 7 calendar days from the Departure Confirmation, unless a different payment deadline is expressly indicated in the Booking Confirmation and Travel Contract or subsequent written payment communication.
The Traveler is responsible for ensuring that the required payment is completed by the applicable due date.
Where payment is made by a method requiring processing time, sufficient time should be allowed for the funds to be received by Veditalia before the deadline.
If the outstanding balance is not received by the applicable due date, Veditalia may request payment within an appropriate additional period. If payment remains outstanding after that period, Veditalia may terminate the travel contract in accordance with these General Terms and Conditions and applicable law.
Following receipt of the Total Package Price in full, the applicable individual insurance policy or certificate will be issued in accordance with Section 2.11 and the procedures of the Insurance Provider.
3.6 Bookings Made 60 Days or Less Before Departure
Bookings made 60 days or less before the scheduled Departure Date may be accepted only for departures that have already been confirmed to operate.
For such bookings, the full Total Package Price must be paid at the time the booking request is submitted.
Payment of the full Total Package Price does not by itself constitute acceptance of the booking request. The booking becomes binding only once Veditalia has accepted the booking and issued the Booking Confirmation and Travel Contract.
Such bookings remain subject to the cancellation and refund provisions set out in Section 6.
3.7 Payment Methods
Payments may be made using the payment methods made available through the official Veditalia booking channels.
Accepted payment methods may vary depending on the sales channel, the Traveler’s country of residence and the payment service providers available at the time of booking.
3.8 Currency
Unless otherwise stated, all prices are expressed in Euro (€).
Where payments are made in another currency, exchange rates and any charges applied by the Traveler’s payment provider or financial institution remain the Traveler’s responsibility.
3.9 Price Revisions
After the conclusion of the travel contract, the package price may be revised only where expressly permitted by applicable package travel legislation and solely as a direct consequence of changes in:
- the price of passenger transportation resulting from changes in the cost of fuel or other energy sources;
- the level of taxes or fees on the travel services included in the package imposed by third parties not directly involved in the performance of the package; or
- exchange rates relevant to the package.
Any price revision shall correspond to the actual variation in the relevant cost affecting the package and shall be calculated on the basis of the increase or decrease attributable to the services included in the Traveler’s booking.
Any price increase will be communicated to the Traveler clearly and in writing on a durable medium, together with the reason for the increase and the applicable calculation.
No price increase may be applied within 20 days before the start of the package.
Any price revision will be limited to the documented increase or decrease in the relevant cost attributable to the Traveler’s package. Where the relevant cost affects multiple travelers or services, the variation will be allocated proportionately on a reasonable and objectively verifiable basis.
Where a cost variation affects the departure as a whole, the relevant increase or decrease will be divided among the Travelers affected on a proportionate basis, taking into account the number of Travelers and the travel services to which the variation relates.
3.10 Price Increases Exceeding 8%
Where a proposed price increase exceeds 8% of the total package price, the Traveler may, within the reasonable period specified by Veditalia:
- accept the proposed price increase; or
- terminate the travel contract without cancellation charges.
Where Veditalia offers a substitute package, the Traveler may also choose to accept that alternative.
If the Traveler terminates the contract and does not accept any substitute package offered, all payments made for the package will be refunded in accordance with applicable law.
3.11 Price Reductions
Where the costs referred to in Section 3.9 decrease after the conclusion of the travel contract and before the start of the package, the Traveler shall be entitled to a corresponding reduction in the package price.
Veditalia may deduct from any refund the actual administrative costs incurred in processing the price reduction and, upon request, will provide evidence of those costs.
3.12 Promotional Prices
Veditalia may occasionally offer promotional prices, early booking offers or other limited-time discounts.
Any promotional offer will be subject to the specific terms and eligibility conditions communicated at the time of the offer and will apply only to qualifying bookings made during the relevant promotional period.
Unless expressly stated otherwise, promotional offers cannot be combined with other discounts or applied retrospectively to bookings that have already been confirmed.
3.13 Single Room Supplement
Travelers requesting sole occupancy will be accommodated in a double room for single use, unless otherwise expressly indicated.
For the standard 7-Day Program, the applicable single room supplement is €400.
Where the Traveler selects the 12-Day Extended Program, the total single room supplement applicable to the entire confirmed package is €700.
The single room supplement guarantees the sole occupancy by one Traveler of a double room. It does not guarantee a larger room, a superior room category, a particular view or location within the hotel, or additional facilities or amenities beyond those included in the confirmed accommodation category.
Single occupancy remains subject to availability and must be confirmed by Veditalia.
3.14 Triple Occupancy
Where three Travelers request to share one room, the third Traveler may benefit from a reduced package price where the applicable triple-occupancy rate is offered for the selected departure.
The reduced rate applies where three Travelers occupy the same room, normally using the existing bedding together with an additional bed, rollaway bed or sofa bed, depending on the configuration and standards of the accommodation provider.
Where applicable, the third Traveler will receive a discount of €150 from the applicable standard package price.
Triple occupancy is subject to the capacity, configuration and availability of the accommodation used for the relevant departure and must be expressly confirmed by Veditalia in the Booking Confirmation and Travel Contract.
Where triple occupancy cannot be confirmed, Veditalia will inform the Traveler before the booking is concluded and will communicate any alternative rooming arrangement and resulting price.
3.15 Child Pricing
Children under 12 years of age on the scheduled departure date who share one room with two full-paying adult Travelers are eligible for a 30% discount from the applicable adult package price, unless a different child rate is expressly stated for the relevant departure.
The child discount applies only where the child is accommodated in the same room as the two accompanying adults.
Depending on the configuration and standards of the accommodation provider, the room may use existing bedding together with an additional bed, rollaway bed or sofa bed.
Room capacity and the applicable accommodation arrangement are subject to availability and must be expressly confirmed by Veditalia in the Booking Confirmation and Travel Contract.
Where the requested room configuration cannot be confirmed, Veditalia will inform the Traveler before the booking is concluded and will communicate any alternative arrangement and resulting price.
3.16 Taxes and Local Charges
The Total Package Price includes all taxes, fees and local charges applicable to the services included in the package and known to Veditalia at the time of booking. No additional tourist tax or similar local charge is normally payable by the Traveler.
Exceptionally, where a tax, levy or similar charge is introduced, modified or required by applicable local law to be paid directly by the Traveler and cannot reasonably be prepaid or included by Veditalia, the Traveler may be required to pay that charge directly to the relevant authority, accommodation provider or authorized collecting entity.
Section 4 — Travel Services
Your Travel Experience
This section describes the travel services included in the package holiday and explains how they will be delivered throughout the tour.
While Veditalia is committed to providing the itinerary and services as advertised, certain operational adjustments may occasionally become necessary in order to ensure the smooth and safe execution of the package.
Whenever possible, any changes will be made without affecting the overall quality or value of the travel experience.
4.1 Scope of the Package
The package includes the travel services expressly identified as included in:
- the Booking Confirmation and Travel Contract;
- the applicable Travel Information and Technical Sheet.
Any pre-contractual information forming part of the travel contract under applicable package travel legislation shall also remain binding in accordance with applicable law.
4.2 Accommodation
Accommodation is provided in carefully selected 4-star business hotels or equivalent, chosen in consideration of the itinerary, location, comfort and operational requirements of the tour.
Hotel classifications are based on the applicable local rating system and may not correspond exactly to classification standards used in other countries.
Where accommodation images are published on the Veditalia website or in promotional materials, they are intended to illustrate the general style and standard of the accommodation offered. Unless a specific hotel is expressly confirmed, such images do not guarantee accommodation at the particular property shown.
4.3 Hotel Changes
The hotels planned for the tour may occasionally need to be changed for operational reasons, including availability, unforeseen circumstances or requirements affecting the execution of the itinerary.
Where a hotel substitution becomes necessary, Veditalia will provide accommodation of the same category or a comparable overall standard, taking into account the characteristics and operational requirements of the tour.
A substitution that does not materially reduce the overall standard or essential characteristics of the accommodation will not ordinarily constitute a significant modification of the package, subject in all cases to the Traveler’s rights under applicable law.
4.4 Room Allocation and Preferences
The occupancy arrangement and room type confirmed for the individual booking are indicated in the Booking Confirmation and Travel Contract.
The allocation of individual rooms within each hotel is managed by the accommodation provider.
Veditalia will communicate reasonable room preferences to the relevant hotel where requested, but preferences relating to matters such as: double or twin bedding; connecting or adjoining rooms; floor level; room location; specific views; or quieter areas of the hotel cannot be guaranteed unless expressly confirmed in writing as part of the booking.
Unconfirmed room preferences remain subject to the availability and allocation procedures of each hotel.
Where three Travelers share one room, including where a child shares with two adults, the specific bedding configuration may vary between accommodation providers and may include an additional bed, rollaway bed or sofa bed. Triple occupancy is available only where the relevant room can safely and lawfully accommodate three persons and has been expressly confirmed by Veditalia.
4.5 Single Occupancy
Single occupancy is provided, unless otherwise expressly indicated, in a double room for single use.
The applicable single room supplement is specified in Section 3.13 and in the Booking Confirmation and Travel Contract.
4.6 Internal Transportation
Transportation included as part of the Travel Information and Technical Sheet may be provided by coach, minibus, ferry, public transport or other appropriate means, according to the services included in the program and the operational requirements of the tour.
The type and size of vehicle used may vary depending on:
- group size;
- route requirements;
- local regulations; and
- operational conditions.
Where reasonably necessary, one means of transportation may be replaced by another suitable alternative, provided that the change does not materially reduce the overall standard or essential characteristics of the package.
Where reasonably practicable, Veditalia will provide a coach with seating capacity exceeding the number of Travelers in the confirmed group, in order to allow a more comfortable distribution of passengers during transportation.
Coaches used for the tour are normally equipped with onboard toilet facilities. However, for hygiene and sanitary reasons, use of the onboard toilet may be restricted or unavailable and is therefore not guaranteed. Regular comfort stops will be scheduled during coach journeys at appropriate intervals, subject to route, traffic and operational conditions.
4.7 Tour Leader
Italy in a Week is accompanied by a Tour Leader who coordinates the practical operation of the tour and supports the group throughout the journey.
The Tour Leader’s role may include:
- coordinating the daily program;
- managing meeting and departure arrangements;
- liaising with hotels, transportation providers and other suppliers;
- assisting with practical matters arising during the tour; and
- facilitating communication between the group and local service providers.
The Tour Leader is not a personal assistant, medical professional or licensed local guide unless expressly qualified and acting in that capacity.
Where local regulations require guided services to be provided by an authorized professional, visits will be conducted by an appropriately qualified local guide.
4.8 Local Guides
The language of guided services will normally correspond to the confirmed Tour Language applicable to the departure.
Where operational circumstances require a change of guide, Veditalia may appoint another suitably qualified professional.

4.9 Tour Languages
Each Italy in a Week departure is operated in one confirmed Tour Language only: English or Spanish. Departures are monolingual and are not operated simultaneously in English and Spanish.
The Traveler may select English or Spanish during the booking process. The selected Tour Language will be identified in the booking documentation.
Where Spanish is selected, its availability remains subject to confirmation by Veditalia. Veditalia will confirm the Tour Language applicable to the departure no later than 60 days before the scheduled Departure Date.
If a Spanish-language departure cannot be confirmed, Veditalia will offer the Traveler the possibility of participating in the relevant departure in English.
The Traveler will be free to:
- accept participation in English; or
- decline the proposed English-language arrangement and terminate the travel contract without cancellation charges.
Where the Traveler accepts participation in English, the booking will continue under the same Total Package Price and the change of Tour Language will not, by itself, entitle the Traveler to a price reduction, without prejudice to any rights arising under mandatory applicable law.
Where the Traveler declines participation in English, Veditalia will refund all payments made for the package, without application of the cancellation provisions or deadlines otherwise applicable under Section 6.
For bookings made 60 days or less before departure, the Tour Language applicable to the departure will already have been confirmed and will be communicated to the Traveler before the booking is completed.
Once the Tour Language has been expressly confirmed, any subsequent change affecting that language will be handled in accordance with Section 5 and mandatory applicable law.
4.10 Meals and Dietary Requirements
Meals included in the package are identified in the itinerary, Travel Information and Technical Sheet and Booking Confirmation and Travel Contract, as applicable.
Unless expressly stated otherwise, beverages are not included.
Travelers with dietary requirements or food allergies are encouraged to inform Veditalia as early as possible and, where relevant, before the booking is confirmed.
Where such requirements have been communicated in advance, Veditalia will make reasonable efforts to inform the relevant hotels, restaurants or other food service providers.
However, meals are prepared and served by independent suppliers. Veditalia cannot guarantee:
- the complete absence of specific allergens;
- dedicated allergen-free preparation environments; or
- the ability of every supplier to accommodate every dietary preference or requirement.
Travelers with serious allergies or medical dietary requirements should take appropriate personal precautions and communicate their requirements directly to the relevant food service provider where necessary.
4.11 Travel Information and Technical Sheet and Operational Adjustments
The program applicable to the booking reflects the planned program, sequence of visits and activities at the time the tour is confirmed.
The practical operation of a group tour may occasionally require reasonable adjustments to matters such as:
- the order or sequence of visits;
- departure or meeting times;
- meeting points;
- transportation arrangements;
- the timing or duration of individual activities.
Such adjustments may become necessary as a result of traffic, weather conditions, public events, attraction requirements, transportation disruptions, safety considerations or other operational circumstances.
Where reasonably possible, Veditalia will seek to preserve the services and overall experience described in the confirmed program.
Minor operational adjustments that do not materially alter the essential characteristics of the package will not ordinarily constitute a significant modification of the travel contract.
Any significant modification affecting the essential characteristics of the package will be handled in accordance with applicable law and the relevant provisions of these General Terms and Conditions.
4.12 Optional Experiences and Independent Services
Travelers may have the opportunity to select optional experiences or additional services during the Italy in a Week program outlined Travel Information and Technical Sheet.
Where an optional experience or service is offered by Veditalia, its main characteristics, price and any applicable conditions will be communicated before purchase.
Once selected and confirmed, the optional experience or service will form part of the Traveler’s booking and will be identified in the applicable booking documentation.
Optional experiences and services are subject to availability and may vary between departures.
Activities, excursions or services purchased independently by the Traveler directly from third-party providers do not form part of the Veditalia package and are subject to the terms and conditions of the relevant provider.
4.13 Optional Tour Extensions
The Optional Tour Extension is operated subject to a separate minimum of 12 confirmed Travelers selecting the extension.
The operation of the extension is therefore subject to confirmation by Veditalia. If the minimum number of participants required for the extension is not reached, Veditalia may cancel the extension in accordance with Section 5 and applicable law.
The operation of the core Italy in a Week Program is separate from the minimum participation requirement applicable to the Optional Tour Extension.
Veditalia will confirm whether the Optional Tour Extension will operate no later than 60 days before the scheduled Departure Date of the core Program.
Where single occupancy is selected, the single room supplement applicable to the 12-Day Extended Program is as specified in Section 3.13.
4.14 Group Size
Italy in a Week is designed to operate with a minimum of 12 and a maximum of 30 Travelers.
If the minimum number of participants required for a departure is not reached, Veditalia may cancel the departure within the timeframe and in accordance with the conditions set out in Section 7 of these General Terms and Conditions.
The number of participants may vary between departures and is not guaranteed to reach the maximum group size.
4.15 Operational Flexibility
Travelers acknowledge that the practical operation of a multi-destination group tour requires a reasonable degree of flexibility.
Unexpected circumstances may occasionally require adjustments to logistical or operational arrangements during the journey.
Where changes become necessary, Veditalia will act reasonably and seek, wherever practicable, to:
- preserve the essential services included in the package;
- minimize unnecessary disruption;
- maintain an appropriate overall standard of service; and
- protect the safety and practical operation of the group.
Nothing in this Section limits any mandatory rights available to the Traveler under applicable package travel legislation.
Section 5 — Changes Before Departure
When Plans Need to Change
Veditalia carefully plans every departure to deliver the Travel Information and Technical Sheet and travel experience as advertised.
Occasionally, however, changes may become necessary due to operational requirements or circumstances beyond our reasonable control.
This section explains how such changes are managed and the rights available to Travelers should significant modifications become unavoidable.
5.1 Minor Changes Before Departure
Before the start of the package, Veditalia may make minor changes to the travel arrangements where such changes do not materially affect the essential characteristics, overall quality or value of the package.
Minor changes may include, for example:
- reasonable adjustments to departure or meeting times;
- changes to meeting points;
- replacement of a hotel with accommodation of the same category or comparable overall standard;
- changes to the order or sequence of visits;
- replacement of transportation arrangements with suitable alternatives of a comparable standard; or
- other minor operational adjustments necessary for the proper execution of the Travel Information and Technical Sheet.
Where a minor change is made before departure, Veditalia will inform the Traveler of the change as soon as reasonably practicable and, in any event, before the start of the package.
Minor changes that do not materially alter the essential characteristics of the package do not entitle the Traveler to terminate the travel contract without the cancellation charges otherwise applicable under these General Terms and Conditions.
Any changes arising after the start of the package will be managed in accordance with the provisions governing the execution of the tour and alternative arrangements.
5.2 Significant Changes Before Departure
If, before the start of the package, Veditalia becomes aware that it is necessary to make a significant change to one or more essential characteristics of the package, the Traveler will be informed without undue delay and as soon as the relevant change becomes known.
A significant change may include, depending on the circumstances:
- a substantial modification of the itinerary or of a material part of the planned program;
- the removal or substantial alteration of an important service or experience included in the package;
- a significant reduction in the standard of the confirmed accommodation;
- a significant change to the duration of the package; or
- another modification that materially alters the essential characteristics of the package purchased by the Traveler.
The communication will clearly explain:
- the proposed change;
- any effect on the package price;
- the options available to the Traveler;
- the period within which the Traveler must communicate a decision; and
- the consequences of failing to respond within that period, where applicable under mandatory law.
5.3 Traveler’s Options in the Event of a Significant Change
Where a significant change is proposed before departure, the Traveler may, within the reasonable period specified by Veditalia:
- accept the proposed modification; or
- terminate the travel contract without cancellation charges.
Where the accepted modification results in a package of lower quality or cost, the Traveler will be entitled to an appropriate reduction in the package price in accordance with applicable law.
If the Traveler terminates the travel contract as a result of a significant change, Veditalia will refund the payments due to the Traveler within the period required by applicable law.
Veditalia is not required to provide an alternative departure or replacement package. Where Veditalia exceptionally proposes an alternative arrangement, the Traveler will be free to accept or decline it in accordance with the terms communicated at that time.
5.4 Changes and Alternative Arrangements During the Tour
Circumstances arising after the start of the package may occasionally make it necessary to modify part of the planned program, including a hotel, visit, excursion, transportation arrangement or other included service.
Where an included service cannot be provided as planned, Veditalia will, where reasonably possible and appropriate in the circumstances, seek to:
- provide a suitable alternative arrangement;
- maintain a standard and value reasonably comparable to the service originally planned; and
- minimize disruption to the overall travel experience.
Where an alternative service is of lower quality or value than the service it replaces, an appropriate price reduction will be provided where required by applicable law.
Where no suitable alternative can reasonably be arranged, or where a service included in the package is not provided as agreed, the Traveler’s rights to any appropriate price reduction or other remedy will be determined in accordance with applicable package travel legislation and these General Terms and Conditions.
Travelers will be informed of operational changes arising during the tour as soon as reasonably practicable, taking into account the circumstances in which the change occurs.
5.5 Changes Requested by the Traveler
After the Booking Confirmation and Travel Contract has been issued, any request by the Traveler to modify the booking shall be subject to operational feasibility.
A request to change the confirmed Departure Date or to move the booking to another scheduled departure will be treated as a cancellation of the original booking and will therefore be subject to the cancellation provisions set out in Section 6.
Veditalia may, at its sole discretion and subject to availability and operational feasibility, exceptionally allow the Traveler to reschedule the booking to another available departure. The possibility of rescheduling does not constitute a contractual right of the Traveler.
Where Veditalia agrees to a rescheduling request, the applicable conditions, price differences, administrative costs and treatment of any amounts already paid will be communicated to the Traveler before the rescheduling is confirmed.
Requests concerning other booking amendments, such as accommodation arrangements or correction of passenger details, will be considered separately and remain subject to operational feasibility and any applicable costs.
Nothing in this Section affects the Traveler’s statutory right to transfer the travel contract to a substitute Traveler in accordance with Section 5.6 and applicable law.
5.6 Transfer of the Travel Contract
The transfer request must be notified to Veditalia on a durable medium no later than seven days before the start of the package.
The original Traveler and the substitute Traveler shall be jointly and severally responsible for payment of:
- any outstanding balance of the package price; and
- any additional fees, taxes, administrative charges or other costs arising directly from the transfer.
Veditalia will inform the original Traveler of the actual costs resulting from the transfer. Such costs will not be unreasonable and will not exceed the costs actually incurred by Veditalia as a consequence of the transfer.
Upon request, Veditalia will provide evidence of any fees, taxes or other additional costs resulting from the transfer.
The transfer remains subject to the substitute Traveler satisfying all conditions applicable to participation in the package, including any requirements relating to travel documents, eligibility or other conditions applicable to the booked services.
5.7 Circumstances Beyond Our Control
Certain changes may become necessary as a consequence of extraordinary events beyond the reasonable control of Veditalia.
These may include, without limitation:
- severe weather;
- natural disasters;
- strikes or industrial action;
- public demonstrations;
- public authority restrictions;
- road closures;
- security concerns;
- transport disruptions;
- other unavoidable and extraordinary circumstances.
Whenever possible, Veditalia will seek practical solutions designed to minimize inconvenience while preserving the overall travel experience.
5.8 Traveler Communication
Where changes occur before departure, Veditalia will communicate with the Traveler using the contact details provided during the booking process.
Travelers are responsible for ensuring that their contact information remains accurate and for regularly checking their email and other agreed communication channels before departure.
Section 6 — Traveler Cancellation
Canceling Your Booking
This section explains how cancellations are managed, the applicable refund periods, any cancellation amounts that may apply, and how the selected Travel Protection Formula may assist eligible Travelers.
The cancellation policy has been designed to reflect the costs progressively incurred by Veditalia in organizing each departure.
Payment & Cancellation — At a Glance
You book more than 60 days before departure
What you pay: You pay a €300 deposit per Traveler.
If you cancel: For the first 30 calendar days, the €300 deposit is fully refundable. After 30 days, Veditalia calculates the amount to be retained or refunded based on the cancellation rules.
If you selected Flex: The same rules apply.
Veditalia confirms that the departure will operate
What you pay: You receive the Departure Confirmation within 60 days before the departure date and must pay the outstanding balance within 7 calendar days.
If you cancel: If the 30-day deposit refund period is still open, the €300 deposit remains fully refundable.

What you pay: No further payment is due. Your individual insurance policy or certificate is issued.
If you cancel: Veditalia calculates the amount to be retained based on when you cancel and the costs connected with your booking.
If you selected Flex: If the reason for cancellation is covered, you may submit a separate claim to the Insurance Provider.
You book 60 days or less before departure
What you pay: You can book only a departure already confirmed to operate and must pay the full Total Package Price at booking.
If you cancel: The 30-day deposit refund period does not apply. If you cancel, Veditalia calculates the amount to be retained based on when you cancel and the costs connected with your booking.
If you selected Flex: If the reason for cancellation is covered, you may submit a separate claim to the Insurance Provider.
You ask to move to another departure date
What you pay: —
If you cancel: A request to change the date of departure is treated as a cancellation of the original booking. Veditalia may exceptionally allow rescheduling, subject to availability.
If you selected Flex: The same rule applies. If the reason is covered, you may submit a separate claim to the Insurance Provider.
Important: The same Veditalia cancellation rules apply to Standard and Flex bookings. The Flex Formula does not provide free cancellation; it includes additional Trip Cancellation Insurance which may reimburse eligible cancellation amounts, subject to the Official Insurance Documentation.
The 30-calendar-day full refund applies only to the €300 deposit.
This is a simplified summary. The complete provisions below and any mandatory rights under applicable law remain applicable.
6.1 Traveler’s Right to Cancel
The Traveler may terminate the travel contract at any time before the start of the package by providing written notice to Veditalia by email at [email protected].
The cancellation will take effect on the date on which the written notice is received by Veditalia.
Nothing in this Section limits the Traveler’s right under mandatory applicable law to terminate the travel contract without cancellation charges, including in the event of unavoidable and extraordinary circumstances occurring at the destination or in its immediate vicinity and significantly affecting the performance of the package or the carriage of passengers to the destination.
6.2 Deposit Refund Period
The €300 deposit is fully refundable for 30 calendar days from the date it is received by Veditalia.
Where Veditalia receives the Traveler’s written cancellation within the applicable refund period, the deposit will be refunded in full.
After the applicable refund period has expired, the deposit is no longer automatically refundable. Any amount retained or refunded following cancellation will be determined in accordance with Section 6.5 and mandatory applicable law.
The 30-calendar-day refund period applies only to the €300 deposit. Where the Traveler has already paid any additional amount towards the Total Package Price, the treatment of that additional amount following cancellation will be determined in accordance with the applicable cancellation provisions of these General Terms and Conditions.
6.3 Final Payment Due Date and Deposit Refund Period
For bookings made more than 60 days before departure, once the Departure Confirmation has been issued, the outstanding balance must be paid within 7 calendar days, in accordance with Section 3.5.
The 30-calendar-day deposit refund period under Section 6.2 remains applicable to the €300 deposit.
6.4 Bookings Made 60 Days or Less Before Departure
Where a booking is made 60 days or less before the scheduled Departure Date, the relevant departure will already have been confirmed to operate and the full Total Package Price must be paid at the time of booking.
Any cancellation by the Traveler following confirmation of the booking will be subject to Section 6.5, without prejudice to any right to terminate the travel contract without cancellation charges under mandatory applicable law.
6.5 Cancellations After the Applicable Refund Period
Once the applicable refund period has expired, the Traveler may still terminate the travel contract at any time before the start of the package.
The applicable cancellation amount will be calculated in accordance with mandatory applicable law. Where no standardized cancellation amount applies, it will correspond to the Total Package Price less the cost savings and income resulting from the alternative deployment of the relevant travel services.
At the Traveler’s request, Veditalia will provide information regarding the basis of the applicable cancellation amount.
Nothing in this Section affects any right of the Traveler to terminate the travel contract without cancellation charges where provided by mandatory applicable law.
Any refund due to the Traveler following termination of the travel contract will be made without undue delay and, in any event, no later than 14 days after termination, subject to any applicable cancellation amount and mandatory applicable law.
6.6 Nominative and non-refundable tickets
Certain visits may require Veditalia to purchase nominative admission tickets in advance, including, where applicable, tickets for the Last Supper and the Colosseum.
Once issued, certain tickets may be non-refundable or non-transferable.
If the Traveler cancels the booking, the actual non-recoverable cost of any such tickets may be taken into account when determining the applicable cancellation amount under Section 6.5 and may therefore reduce any refund due.
This does not affect any right to a full refund where required by mandatory applicable law.
6.7 Standard Formula
Travelers selecting the Standard Formula receive the travel insurance coverage applicable to that Formula, as described in the applicable Official Insurance Documentation.
The Standard Formula does not include Trip Cancellation Insurance.
Where a Traveler cancels the booking after the applicable refund period has expired, any cancellation amount applicable under Section 6.5 will remain the Traveler’s responsibility, unless the Traveler is entitled to terminate the travel contract without cancellation charges under mandatory applicable law.
The applicable Official Insurance Documentation governs all matters relating to the insurance coverage included in the Standard Formula.
6.8 Flex Formula – Trip Cancellation Insurance
Travelers selecting the Flex Formula receive the travel insurance coverage included in the Standard Formula together with additional Trip Cancellation Insurance, subject to the issuance, validity and coverage provisions set out in the applicable Official Insurance Documentation.
The Trip Cancellation Insurance is designed to cover eligible cancellation amounts arising from qualifying events that were unforeseeable at the time of booking, are objectively documentable, independent of the Insured Party’s will and sufficiently serious to prevent participation in the trip, together with any other circumstances expressly covered by the applicable Official Insurance Documentation.
Where the Traveler cancels the booking, the cancellation and refund provisions set out in this Section remain applicable independently of any insurance claim.
If the cancellation results from an event potentially covered by the Trip Cancellation Insurance, the Traveler may submit a claim directly to the Insurance Provider in accordance with the procedures, deadlines and documentation requirements set out in the applicable Official Insurance Documentation.
Any reimbursement is subject to the applicable insured events, conditions, exclusions, limits, deductibles or excesses and other policy provisions. The inclusion of Trip Cancellation Insurance does not guarantee that any applicable cancellation amount will be reimbursed in full or in part.
Insurance claims are assessed, administered and settled exclusively by the Insurance Provider. Veditalia does not determine whether an event is covered, approve or reject claims, or determine the amount of any insurance reimbursement, but may provide relevant booking documentation where reasonably required for the submission of a claim.
6.9 Insurance Claims
Travelers who have selected the Flex Formula and wish to submit a claim under the applicable Trip Cancellation Insurance must follow the procedures set out in the applicable Official Insurance Documentation.
The Traveler remains responsible for:
- notifying Veditalia in writing of the cancellation without undue delay and in accordance with these General Terms and Conditions;
- submitting the insurance claim separately and directly to the Insurance Provider within the applicable deadlines;
- providing all documentation and supporting evidence required under the policy; and
- cooperating with the Insurance Provider throughout the assessment of the claim.
Submitting an insurance claim does not constitute notice of cancellation to Veditalia and does not suspend, reduce or otherwise modify any cancellation amount applicable under section 6.5.
Any increase in the applicable cancellation amount resulting from a delay in notifying Veditalia may remain the responsibility of the Traveler and may not be covered by the Insurance Provider, subject to the applicable Official Insurance Documentation.
Any reimbursement is subject exclusively to the applicable Official Insurance Documentation and to the assessment of the Insurance Provider. Any amount approved will be reimbursed in accordance with the Insurance Provider’s applicable procedures.
For all matters relating to insurance claims, including eligibility, deadlines, required documentation and claim procedures, Travelers must refer to the applicable Official Insurance Documentation and contact the Insurance Provider directly.
6.10 Cancellation Due to Unavoidable and Extraordinary Circumstances
Where, before the start of the package, unavoidable and extraordinary circumstances occur at the destination or in its immediate vicinity and significantly affect the performance of the package or the carriage of passengers to the destination, the Traveler may terminate the travel contract without paying cancellation charges, in accordance with applicable law.
In such circumstances, the Traveler will be entitled to a full refund of all payments made for the package but will not be entitled to any additional compensation.
Any refund due under this Section will be made without undue delay and, in any event, within 14 days of the termination of the travel contract, as required by applicable law.
6.11 Partial Cancellation
Where a booking includes more than one Traveler and one or more, but not all, Travelers cancel their participation, the cancellation and refund provisions set out in this Section will apply separately to the portion of the booking attributable to each canceling Traveler.
A partial cancellation may also affect the arrangements and price applicable to the remaining Travelers, particularly where the cancellation results in a change to:
- room occupancy or rooming arrangements;
- the applicability of a single room supplement; or
- other services whose price depends on the number of Travelers sharing the booking.
Where a partial cancellation results in an additional amount becoming payable by the remaining Travelers, Veditalia will communicate the resulting change before the amended arrangements are confirmed.
Any refund or additional amount due as a result of the partial cancellation will be calculated taking into account:
- the applicable cancellation amount attributable to the canceling Traveler or Travelers; and
- any resulting changes to the arrangements applicable to the remaining booking.
Where the canceling Travelers are covered by the Flex Formula, any insurance claim will be assessed separately by the Insurance Provider in accordance with the applicable Official Insurance Documentation.
Where the same insured event results in the cancellation of more than one insured Traveler registered on the same trip, the Trip Cancellation Insurance may also apply to other eligible insured Travelers, subject exclusively to the conditions and requirements set out in the applicable Official Insurance Documentation.
Section 7 — Changes or Cancellation by Veditalia
When We Need to Cancel or Modify a Departure
Although every tour is carefully planned well in advance, there may be exceptional circumstances in which Veditalia is required to cancel a departure or make significant changes before the tour begins.
Whenever this occurs, our priority is to keep Travelers informed promptly and to provide the most appropriate solution available under the circumstances.
7.1 Minimum Group Size
Italy in a Week is operated subject to a minimum of 12 confirmed Travelers for each departure.
The minimum group size is necessary to ensure the operational and financial viability of the package while maintaining the standard and structure of the travel experience.
Confirmation of an individual booking does not, by itself, confirm that the minimum number of participants required for the departure has been reached.
Once the required minimum number of confirmed Travelers has been reached, Veditalia may issue the Departure Confirmation at any time.
In all cases, Veditalia will determine whether the departure will operate no later than 60 days before the scheduled Departure Date.
If the minimum number of participants has not been reached by that date, Veditalia will cancel the departure in accordance with Section 7.2.
7.2 Cancellation Where Minimum Group Size Is Not Reached
If the minimum number of 12 confirmed Travelers required for a departure has not been reached 60 days before the scheduled Departure Date, Veditalia will cancel the departure and terminate the related travel contracts.
The cancellation will be communicated to the Traveler in writing no later than 60 days before the scheduled start of the package.
Where it becomes reasonably clear at an earlier stage that the required minimum number of participants will not be reached, Veditalia may notify affected Travelers earlier in order to minimize inconvenience.
In the event of cancellation under this Section, the Traveler will receive the refund provided for in Section 7.4 and will not be entitled to additional compensation, as provided by applicable law.
7.3 Cancellation Due to Unavoidable and Extraordinary Circumstances
Veditalia may terminate the travel contract before the start of the package where it is prevented from performing the package because of unavoidable and extraordinary circumstances.
In such circumstances, Veditalia will notify the Traveler of the cancellation without undue delay before the start of the package.
The Traveler will be entitled to a full refund of all payments made for the canceled package but will not be entitled to additional compensation, in accordance with applicable law.
This Section applies only where the circumstances genuinely prevent Veditalia from performing the package and does not limit any mandatory rights available to the Traveler under applicable law.
7.4 Refund Following Cancellation by Veditalia
Where Veditalia terminates the travel contract under Sections 7.2 or 7.3, the Traveler will receive a full refund of all payments made for the canceled package, including the amount attributable to the selected Travel Protection Formula included in the total package price.
No cancellation charges will apply.
The refund will be made without undue delay and, in any event, no later than 14 days after termination of the travel contract, using the original payment method unless another method is expressly agreed with the Traveler.
Where insurance coverage has already been issued in connection with the confirmed departure, Veditalia will manage any necessary coordination relating to the cancellation of the package in accordance with the applicable arrangements with the Insurance Provider. This does not affect the Traveler’s entitlement to the full refund due under this Section.
Veditalia is not responsible for refunding independently booked services or arrangements that do not form part of the package, such as separately purchased flights, accommodation, transportation or other travel services, except where liability arises under mandatory applicable law.
Nothing in this Section excludes or limits any right to additional compensation that the Traveler may have under mandatory applicable law in circumstances other than those expressly covered by Sections 7.2 and 7.3.
For this reason, Travelers are strongly advised to follow the recommendations concerning independently purchased flights and other travel arrangements set out in Section 3.3.
7.5 No Additional Compensation
Where Veditalia terminates the travel contract because:
- the minimum number of participants required for the departure has not been reached and the cancellation is communicated within the applicable time limit; or
- Veditalia is prevented from performing the package because of unavoidable and extraordinary circumstances,
the Traveler will be entitled to the refund provided under Section 7.4 but will not be entitled to any additional compensation, in accordance with applicable law.
7.6 Alternative Solutions
Where Veditalia cancels a departure before the start of the package, Veditalia may, at its sole discretion and without any obligation to do so, consider offering offer the Traveler the opportunity to move the booking to another scheduled departure of Italy in a Week.
Any such offer is subject to availability, operational feasibility, the applicable conditions of the alternative departure and any other relevant circumstances at the time the offer is made.
The availability of another scheduled departure does not, by itself, create any right or entitlement for the Traveler to transfer the booking, and Veditalia is not required to reserve places, modify an existing departure or create an additional departure for this purpose.
Where an alternative departure is offered:
- Veditalia will communicate the applicable dates, price and any material differences in the arrangements;
- the Traveler will be free to accept or decline the proposed alternative;
- Veditalia may specify a reasonable period within which the Traveler must communicate acceptance; and
- any rebooking onto the alternative departure will become effective only once expressly confirmed in writing by Veditalia.
Any amounts already paid for the canceled package may be applied to the alternative departure only where this is expressly agreed between Veditalia and the Traveler. Any applicable difference in price will be communicated before the alternative booking is confirmed.
If Veditalia does not offer an alternative departure, if the proposed alternative is no longer available, or if the Traveler does not accept it within any applicable acceptance period, the Traveler will remain entitled to the refund provided under these General Terms and Conditions and applicable law.
Nothing in this Section requires Veditalia to offer an alternative departure instead of providing the refund to which the Traveler is entitled following cancellation of the original package.
Section 8 — Traveler Responsibilities & Participation
Traveling Together
Veditalia tours are designed to offer a well-organized, enjoyable and respectful group travel experience.
Every Traveler plays an important role in ensuring the smooth operation of the tour. By participating in a Veditalia package holiday, Travelers agree to cooperate with the Tour Leader, respect the published itinerary and contribute to a positive experience for the entire group.
8.1 Traveler Responsibilities
Each Traveler is responsible for:
- providing complete and accurate personal and booking information and promptly notifying Veditalia of any relevant changes;
- ensuring that all passports, identity documents, visas, permits and other travel documents required for the trip are valid and available when required;
- complying with all applicable immigration, customs, health and entry requirements;
- arriving at meeting points and departure locations at the times communicated by Veditalia, the Tour Leader or the relevant service provider;
- respecting local laws, regulations, customs and cultural traditions;
- behaving in a respectful manner towards other Travelers, Veditalia personnel, guides, suppliers and members of the public;
- following reasonable safety and operational instructions given by the Tour Leader, guides, transport providers or other authorized personnel;
- taking reasonable care of personal belongings and luggage;
- promptly informing Veditalia or the Tour Leader of any issue, difficulty or perceived lack of conformity affecting the performance of the package, so that Veditalia has a reasonable opportunity to assess and, where appropriate, address the matter; and
- avoiding conduct that may endanger, seriously inconvenience or materially disrupt other Travelers or the safe and orderly operation of the tour.
Failure to comply with these responsibilities may affect the Traveler’s ability to participate in individual services or, in serious cases, to continue participating in the tour, subject to the provisions of these General Terms and Conditions and applicable law.
8.2 Fitness to Participate
Italy in a Week is designed for Travelers who are able to participate independently in the activities and travel arrangements described in the itinerary.
The destinations and experiences included in the tour may involve, among other things:
- walking for reasonable periods through historic city centers;
- uneven pavements, cobbled streets and irregular surfaces;
- stairs and locations without step-free access;
- periods of standing;
- areas with limited or restricted vehicle access; and
- managing personal luggage for reasonable distances where required by the itinerary.
Travelers should therefore consider their individual physical condition and ability to participate safely and independently in the planned activities, board and leave the transportation used during the tour, and manage their own personal belongings and luggage without requiring continuous personal assistance.
Travelers with reduced mobility, medical conditions or other individual needs that may affect their participation are encouraged to contact Veditalia before booking. Upon request, Veditalia will provide available information regarding the suitability of the tour in light of the Traveler’s specific needs and will consider reasonable practical arrangements where operationally feasible.
Due to the nature of certain historic destinations, attractions, transportation arrangements and third-party facilities included in the itinerary, Veditalia cannot guarantee that every location or activity will be fully accessible or suitable for every individual Traveler.
8.3 Punctuality
To ensure the smooth operation of the itinerary and to respect the experience of all participants, Travelers are responsible for being present and ready to depart at the meeting points and times communicated by Veditalia, the Tour Leader, the local guide or the relevant service provider.
Unless otherwise expressly indicated, the communicated meeting time is the time by which the Traveler must be present and ready to participate.
Travelers are responsible for paying attention to any updates or changes to meeting points, departure times or daily schedules communicated during the tour.
Scheduled departures, guided visits, transportation and activities cannot always be delayed to accommodate late Travelers, particularly where doing so would disrupt the itinerary, affect other participants or result in the loss of reservations or scheduled services.
8.4 Late Arrivals
If, during the tour, a Traveler fails to arrive at an agreed meeting point by the communicated time, the Tour Leader will make reasonable efforts to establish contact where circumstances reasonably permit.
However, Veditalia is not required to delay the departure of the group where doing so could disrupt the itinerary, adversely affect other Travelers or interfere with scheduled transportation, reservations, guided visits or other services. In such circumstances, the group may continue according to the planned or updated schedule.
Where the delay is attributable to the Traveler, the Traveler will be responsible for making the necessary arrangements to rejoin the group and for any additional transportation, accommodation or other costs incurred as a result.
Veditalia will provide reasonable practical information or assistance to help the Traveler rejoin the group where reasonably possible, but cannot guarantee that rejoining will be possible at a particular location or in time to participate in any missed activity or service.
Services missed as a result of a delay attributable to the Traveler will not normally give rise to a refund or price reduction, subject to mandatory applicable law.
This Section does not apply where the Traveler’s delay results from circumstances for which Veditalia is legally responsible and does not affect any rights available to the Traveler under mandatory applicable law.
Any rights the Traveler may have under the applicable insurance coverage are separate and remain subject exclusively to the applicable Official Insurance Documentation and assessment by the Insurance Provider.
8.5 Behavior During the Tour
All Travelers are expected to behave in a respectful, responsible and considerate manner throughout the tour.
Travelers must show appropriate respect towards:
- fellow Travelers;
- the Tour Leader and other Veditalia personnel;
- local guides;
- drivers and transportation personnel;
- hotel, restaurant and attraction staff;
- suppliers and service providers; and
- local communities and members of the public.
Travelers must also comply with applicable laws, regulations and reasonable rules established by hotels, attractions, transportation providers and other venues visited during the tour.
Conduct that causes unreasonable disturbance, creates a safety risk, damages property, interferes materially with the operation of the itinerary or substantially affects the experience of other participants will not be accepted.
8.6 Serious Misconduct
Where a Traveler’s conduct seriously disrupts the tour, creates a risk to the health or safety of any person, causes significant damage to property or materially prevents the proper operation or enjoyment of the package, Veditalia may take such reasonable and proportionate measures as are necessary in the circumstances.
Depending on the seriousness and urgency of the situation, such measures may include a warning, requiring the Traveler to cease the relevant conduct, excluding the Traveler from a particular activity or service or, where reasonably necessary, terminating the Traveler’s continued participation in the tour.
Serious misconduct may include, without limitation:
- violent, abusive or threatening behavior;
- harassment or discriminatory conduct;
- serious or repeated refusal to comply with reasonable safety or operational instructions;
- conduct that endangers the Traveler, other participants or third parties;
- intentional or reckless damage to property;
- unlawful conduct materially affecting the operation of the tour; or
- serious or repeated disruption of the itinerary or the experience of other Travelers.
Except where immediate action is reasonably necessary for safety or other serious reasons, Veditalia will seek to address the situation through less restrictive measures before terminating a Traveler’s participation in the tour.
Where a Traveler’s participation is terminated as a direct consequence of that Traveler’s own serious misconduct, no refund or price reduction will normally be due for services that remain unused as a result, to the extent permitted by applicable law.
The Traveler will be responsible for arranging and paying for any additional transportation, accommodation or other services required following the termination of participation and may also be responsible for reasonable costs or damage directly caused by their conduct.
Nothing in this Section limits any mandatory rights or obligations arising under applicable law.
8.7 Luggage
Unless otherwise specified in the Travel Information and Technical Sheet, each Traveler may bring one standard suitcase and one small personal item suitable for daily use.
Travelers must ensure that their luggage is of a reasonable size and weight, can be handled by the Traveler independently where required and complies with any restrictions communicated by Veditalia or applicable transportation providers.
Due to the storage capacity of coaches and other means of transport used during the tour, Veditalia may refuse or require separate arrangements for oversized, excessive or additional luggage that cannot reasonably or safely be accommodated. Any additional costs arising from luggage exceeding the permitted allowance may be charged to the Traveler where applicable.
Travelers are responsible for taking reasonable care of their luggage and personal belongings and for ensuring that they collect all items when leaving hotels, vehicles and other locations during the tour.
Passports, travel documents, medication, money, valuables, electronic devices and other essential or irreplaceable items should not be placed in luggage stored in vehicle luggage compartments or otherwise left unattended and should remain under the Traveler’s personal supervision whenever reasonably possible.
Any loss, theft, delay or damage affecting luggage or personal belongings should be reported promptly to the Tour Leader and, where appropriate, to the relevant transportation provider, accommodation provider, local authority or other responsible entity.
Loss, theft, delay or damage may be covered under the applicable insurance policy, subject exclusively to its terms, conditions, exclusions, limits and claims procedures.
Nothing in this Section excludes or limits any responsibility that Veditalia may have under mandatory applicable law in relation to services forming part of the package.
Further information concerning luggage allowances, recommendations and any applicable restrictions will be provided in the Travel Information and Technical Sheet and relevant Travel Documentation.
8.8 Dietary Requirements
Travelers with dietary requirements, food intolerances or food allergies should inform Veditalia at the time of booking or as soon as reasonably possible after becoming aware of the relevant requirement.
Veditalia will communicate notified dietary requirements to the relevant accommodation and food service providers and will make reasonable efforts to facilitate suitable arrangements.
Unless a specific dietary requirement has been expressly confirmed in writing by Veditalia as part of the booking, dietary requests remain subject to the availability and capabilities of the relevant service providers and cannot be guaranteed in every location.
Travelers with serious or potentially life-threatening food allergies should notify Veditalia before booking wherever possible and should also communicate their requirements directly to the relevant food service staff when meals are provided.
Because food is prepared in kitchens and facilities operated by different service providers, Veditalia cannot guarantee a completely allergen-free environment or the absence of cross-contamination.
Travelers with serious allergies or medical dietary requirements should take appropriate personal precautions, including carrying any medication prescribed for their condition and seeking clarification regarding ingredients where necessary.
Nothing in this Section limits any responsibility arising under mandatory applicable law.
8.9 Personal Property
Travelers are responsible for taking reasonable care of their personal belongings throughout the tour and should not leave valuable or essential items unattended.
Passports, identity documents, money, payment cards, medication, electronic devices, jewelry and other valuable or irreplaceable items should be kept securely and under the Traveler’s personal supervision whenever reasonably possible.
Where hotel safes or other secure storage facilities are available, Travelers are encouraged to use them in accordance with the relevant provider’s instructions.
Any loss, theft or damage should be reported as soon as reasonably possible to the Tour Leader and, where appropriate, to the relevant hotel, transportation provider, local authority or other responsible entity, particularly where a formal report may be required for an insurance claim.
Veditalia cannot be responsible for loss, theft or damage resulting solely from the Traveler’s own failure to take reasonable care of personal belongings or from circumstances for which Veditalia is not legally responsible.
Any responsibility of Veditalia for loss of or damage to personal property will be determined in accordance with the travel contract and applicable law.
The applicable travel insurance may provide coverage for certain loss, theft or damage to baggage and personal belongings, subject exclusively to the applicable Official Insurance Documentation.
Where personal property is lost or accidentally left behind during the tour, Veditalia will make reasonable efforts to assist the Traveler in contacting the relevant hotel, transportation provider, venue or other location where the item may have been left. Veditalia cannot guarantee that lost property will be located, recovered or returned, and any costs associated with its recovery or delivery may remain the Traveler’s responsibility.
8.10 Photography and Promotional Material
During Italy in a Week, photographs or video recordings may occasionally be taken for the purpose of documenting the tour and its activities.
Where Veditalia intends to use identifiable images or recordings of individual Travelers for promotional, marketing or communication purposes, such use will be carried out only on an appropriate legal basis and in accordance with applicable data protection and image rights legislation.
Where the Traveler’s consent is required, it will be requested separately and will not be a condition of purchasing or participating in the package.
Travelers who do not wish to be deliberately photographed or filmed may inform Veditalia or the Tour Leader, and reasonable efforts will be made to respect their preference during the taking of photographs and recordings.
The processing and use of personal images will be carried out in accordance with Veditalia’s Privacy Policy and applicable data protection legislation.
Where processing is based on consent, the Traveler may withdraw that consent in accordance with the procedures described in the applicable Privacy Policy, without affecting the lawfulness of any processing carried out before the withdrawal.
8.11 Health During the Tour
Travelers who experience an illness, injury or other health-related difficulty during the tour should inform the Tour Leader as soon as reasonably possible where assistance is required.
Where reasonably necessary, Travelers should also communicate any relevant medical information that may be required to obtain appropriate assistance or respond to an emergency.
Veditalia and the Tour Leader will provide reasonable practical assistance in helping an affected Traveler access appropriate medical services or emergency assistance, in accordance with the circumstances and applicable law.
Neither Veditalia nor the Tour Leader provides medical advice, diagnosis or treatment, and Travelers should seek assistance from appropriately qualified healthcare professionals whenever medical attention is required.
Unless Veditalia is legally responsible for the circumstances giving rise to the relevant costs, any medical treatment, medication, transportation, additional accommodation or other expenses incurred as a result of illness or injury will remain the Traveler’s responsibility.
The applicable travel insurance may provide coverage or assistance for certain medical expenses and related services, subject exclusively to the applicable Official Insurance Documentation, including its conditions, limits, exclusions and assistance procedures.
Where the applicable Official Insurance Documentation requires prior contact with or authorization from the Insurance Provider or its Operations Center, the Traveler should follow the relevant procedures whenever circumstances reasonably permit.
Veditalia will provide appropriate assistance without undue delay to a Traveler in difficulty, as required by applicable law.
8.12 Compliance with Local Regulations
Travelers must comply throughout the tour with:
- applicable local and national laws and regulations;
- requirements and instructions issued by public authorities;
- reasonable safety, security and access requirements established by accommodation providers, transportation companies, attractions, venues and other service providers; and
- reasonable instructions communicated by Veditalia, the Tour Leader or authorized personnel where necessary for the safe and orderly operation of the tour.
Where a Traveler fails to comply with an applicable requirement, he or she may be refused access to or removed from a particular service, attraction, means of transport or location.
Where such refusal or removal results from circumstances attributable to the Traveler, Veditalia will not normally be responsible for services missed as a consequence or for additional costs incurred by the Traveler, without prejudice to any mandatory rights under applicable law.
Serious or repeated non-compliance that creates a safety risk, materially disrupts the operation of the tour or substantially affects other participants may also result in the measures provided for under Section 8.6.
Section 9 — Operational Policies
Delivering a Smooth Travel Experience
Veditalia carefully plans every departure to ensure that the itinerary contained in the Travel Information and Technical Sheet. is delivered as published. However, escorted group travel requires a degree of operational flexibility.
This section explains how day-to-day operational decisions are managed during the tour and how certain circumstances may require reasonable adjustments in order to ensure the safety, comfort and overall experience of the group.
9.1 Authority of the Tour Leader and Safety decisions
The Tour Leader is responsible for the day-to-day operational coordination of Italy in a Week and may make reasonable decisions concerning the practical execution of the program contained in the Travel Information and Technical Sheet where necessary for the safe, efficient and orderly operation of the tour.
Such decisions may include reasonable adjustments relating to timing, meeting arrangements, logistics, transportation, the sequence of activities and other practical aspects of the daily program.
Where the Tour Leader reasonably considers that a planned activity, visit, route or arrangement presents a genuine safety or operational concern, reasonable and proportionate measures may be taken, including modifying, postponing or, where necessary, canceling the affected activity or arrangement.
Whenever reasonably possible, Veditalia will seek to minimize disruption and provide a suitable alternative consistent with the overall nature, quality and value of the package.
Travelers are required to follow reasonable safety and operational instructions communicated by the Tour Leader or other authorized personnel.
Nothing in this Section permits changes that would prejudice any mandatory rights available to the Traveler under applicable law.
9.2 Changes to Daily Activities and Services During the Tour
After the start of the tour, operational circumstances may occasionally require changes to the timing, order or content of certain day trips, visits, activities or other travel services included in the package.
Such circumstances may include, among other things:
- temporary closure or restricted access to museums, monuments, churches or other attractions;
- restoration works;
- religious celebrations, public holidays or local events;
- capacity or admission restrictions;
- weather conditions;
- traffic or access restrictions;
- changes imposed by public authorities or service providers; or
- other operational circumstances affecting the planned program.
Where changes become necessary, Veditalia will make every reasonable effort to preserve the overall quality, character and value of the travel experience and to minimize disruption to the Traveler.
Where an included visit, activity or experience cannot be provided as originally planned, Veditalia will, whenever reasonably possible, arrange a suitable alternative of comparable quality, interest and overall value, at no additional cost to the Traveler.
Alternative arrangements may differ from the original program in their specific content, timing or location, provided that they offer a reasonably comparable experience and do not materially reduce the overall standard of the package.
Veditalia will take all reasonable steps to ensure that necessary adjustments are managed carefully and that the overall experience of Italy in a Week remains consistent with the quality and standards reasonably expected from the package.
Where a significant proportion of the contracted travel services cannot be provided and no suitable alternative arrangements can reasonably be made, or where the Traveler reasonably rejects an alternative because it is not comparable to what was originally agreed, the Traveler will retain the rights and remedies provided by applicable law.
9.3 Operational Disruptions and Local Conditions
The performance of the Travel Information and Technical Sheet may occasionally be affected by circumstances outside Veditalia’s immediate control, including traffic congestion, road closures, public demonstrations or events, transportation delays, vehicle breakdowns, mechanical failures affecting transportation services, temporary access restrictions, strikes, decisions of public authorities or other local or operational disruptions.
Where such circumstances affect the planned operation of the tour, Veditalia will take reasonable steps to adapt the relevant arrangements, minimize disruption and preserve the overall quality and continuity of the travel experience.
Depending on the circumstances, this may involve reasonable changes to transportation arrangements, timings, meeting points, the order of visits or other elements of the daily program.
Where a disruption results in a travel service not being performed in accordance with the travel contract, the rights and obligations of Veditalia and the Traveler will be determined in accordance with these General Terms and Conditions and applicable law.
Nothing in this Section limits any mandatory rights available to the Traveler in the event of a lack of conformity or where a significant proportion of the package cannot be provided as agreed.
Where operational disruption results from unavoidable and extraordinary circumstances, Veditalia may take such reasonable and proportionate measures as are necessary to protect the safety of Travelers and to maintain the performance of the package to the greatest extent reasonably possible.
Depending on the circumstances, such measures may include reasonable changes to transportation, accommodation arrangements, timings, meeting points, sightseeing schedules or other elements of the Travel Information and Technical Sheet.
Veditalia will seek to minimize disruption, provide appropriate assistance where required and preserve the overall quality and continuity of the package. Any mandatory rights available to the Traveler in connection with services that cannot be provided as agreed remain unaffected.
9.4 Traveler Assistance
Veditalia will provide appropriate assistance without undue delay to any Traveler who encounters difficulties before or during the performance of the package, in accordance with applicable law.
Depending on the circumstances, such assistance may include:
- providing appropriate information regarding healthcare services, local authorities and consular assistance;
- assisting the Traveler in making necessary communications;
- helping the Traveler to identify suitable alternative travel arrangements where appropriate;
- facilitating communication with relevant suppliers or service providers; and
- providing reasonable practical support in connection with the circumstances affecting the Traveler.
The nature and extent of the assistance provided will depend on the circumstances of the individual case and on Veditalia’s obligations under applicable law.
Where the difficulty has been caused intentionally by the Traveler or as a result of the Traveler’s negligence or fault, Veditalia may charge a reasonable fee for providing such assistance, provided that such fee does not exceed the actual costs incurred by Veditalia.
Any additional travel, accommodation or other services arranged for the Traveler may remain at the Traveler’s expense where Veditalia is not legally responsible for the circumstances giving rise to the need for such arrangements, without prejudice to any rights available under mandatory applicable law or the applicable insurance coverage.
9.5 Third-Party Suppliers
Certain travel services included in the package are performed by independent service providers, including accommodation providers, transportation companies, restaurants, local guides and attraction operators.
Veditalia selects and coordinates the service providers required for the operation of the package and remains responsible for the proper performance of the travel services included in the travel contract to the extent required by applicable law.
Travelers should promptly report any issue affecting the performance of an included service to Veditalia or the Tour Leader so that the matter can be assessed and, where appropriate, addressed without undue delay.
9.6 Operational Impact of Unavoidable and Extraordinary Circumstances
Where unavoidable and extraordinary circumstances beyond Veditalia’s reasonable control substantially affect the operation of the package holiday, Veditalia may implement such reasonable operational changes as are necessary to protect the safety of Travelers and ensure the best possible execution of the tour.
Such measures may include changes to transportation, accommodation, sightseeing schedules, meeting points or other elements of the Travel Information and Technical Sheet.
Whenever reasonably possible, Veditalia will seek to minimize disruption, provide appropriate assistance to Travelers and preserve the overall value and quality of the package holiday.
Nothing in this provision shall limit any mandatory rights granted to Travelers under applicable package travel legislation.
Section 10 — Veditalia’s Responsibilities & Traveler Assistance
Our Commitment to You
Veditalia is committed to delivering the package holiday as described in the travel contract and to assisting Travelers whenever reasonably required throughout the journey.
Should unforeseen issues arise, our priority is to resolve them promptly, minimize inconvenience and preserve the overall quality of the travel experience.
10.1 Responsibility for the Performance of the Package
Veditalia is responsible for the proper performance of the travel services included in the package travel contract, irrespective of whether those services are performed directly by Veditalia or by third-party travel service providers.
Veditalia will provide and coordinate the contracted travel services with appropriate professional care and in accordance with the characteristics, quality and standards forming part of the travel contract.
Veditalia’s responsibility is subject only to the limitations and exceptions permitted under these General Terms and Conditions, applicable mandatory law and any applicable international conventions.
10.2 Lack of Conformity and Notification
Where a Traveler considers that a travel service included in the package has not been performed or has been improperly performed in accordance with the travel contract, the Traveler must notify Veditalia or the Tour Leader without undue delay, taking into account the circumstances of the case.
Prompt notification allows Veditalia to assess the matter and, where appropriate, take reasonable steps to remedy the situation during the tour.
The Traveler is expected to cooperate reasonably with Veditalia and the Tour Leader in assessing and addressing the matter, including by providing accurate and relevant information and allowing a reasonable opportunity for an appropriate solution to be implemented.
A delay in reporting a perceived lack of conformity does not automatically affect any mandatory rights available to the Traveler but may be relevant, to the extent permitted by applicable law, where the delay has prevented or limited Veditalia’s ability to remedy the matter or avoid further consequences.
10.3 Remedying a Lack of Conformity
Where a travel service is not performed in accordance with the travel contract, Veditalia will take appropriate steps to remedy the lack of conformity without undue delay, unless doing so is impossible or would entail disproportionate costs, taking into account the extent of the lack of conformity and the value of the travel services affected.
Depending on the circumstances, appropriate corrective measures may include:
- restoring or replacing the affected service;
- arranging a suitable alternative service or supplier;
- making reasonable adjustments to the program indicated in the Travel Information and Technical Sheet; or
- implementing another appropriate solution designed to remedy the issue.
Where appropriate, the Traveler should allow Veditalia a reasonable period within which to remedy the lack of conformity.
If Veditalia fails to remedy the lack of conformity within a reasonable period specified by the Traveler, the Traveler may, where permitted by applicable law, remedy the matter personally and request reimbursement of the necessary expenses reasonably incurred.
No such period need be specified where Veditalia refuses to remedy the lack of conformity or where an immediate remedy is reasonably required.
10.4 Significant Lack of Conformity and Alternative Arrangements
Where, after the start of the package, a significant proportion of the contracted travel services cannot be provided as agreed, Veditalia will offer, at no additional cost to the Traveler, suitable alternative arrangements for the continuation of the package, where reasonably possible.
Where possible, the alternative arrangements will be of an equivalent or higher quality than those originally agreed.
Where the alternative arrangements result in services of a lower overall quality, the Traveler will be entitled to an appropriate price reduction in accordance with applicable law.
The Traveler may reject the proposed alternative arrangements where they are not reasonably comparable to what was agreed in the travel contract or where any proposed price reduction is inadequate.
Where a lack of conformity substantially affects the performance of the package and Veditalia fails to remedy it within a reasonable period, the Traveler may exercise the rights available under applicable law, including, where applicable, termination of the travel contract without cancellation charges and an appropriate price reduction or compensation.
Where suitable alternative arrangements cannot be provided or are validly rejected by the Traveler, any resulting rights to a price reduction, compensation or other remedies will be determined in accordance with applicable law.
Where the package includes the carriage of passengers and return transportation becomes necessary in circumstances where Veditalia is legally required to provide it, Veditalia will arrange equivalent return transportation without undue delay and at no additional cost to the Traveler.
10.5 Price Reduction, Compensation and Limitation of Liability
Where a lack of conformity occurs during the performance of the package, the Traveler may be entitled to an appropriate price reduction for the period during which the lack of conformity exists, except where the lack of conformity is attributable to the Traveler.
The Traveler may also be entitled to appropriate compensation for damage resulting from a lack of conformity, subject to applicable law.
Compensation will not be due where Veditalia demonstrates, in accordance with applicable law, that the lack of conformity is:
- attributable to the Traveler;
- attributable to a third party unconnected with the provision of the travel services included in the package and is unforeseeable or unavoidable; or
- due to unavoidable and extraordinary circumstances.
Where applicable international conventions governing a travel service included in the package limit the extent of, or the conditions governing, compensation payable by the relevant service provider, the same limitations will apply to Veditalia to the extent permitted by applicable law.
To the maximum extent permitted by applicable law, compensation payable by Veditalia may be limited to an amount equal to three times the total price of the package, except in relation to personal injury or damage caused intentionally or through negligence, to which no such contractual limitation will apply.
Any rights to compensation or price reduction under applicable package travel legislation are without prejudice to rights available under applicable passenger rights legislation or international conventions. Any compensation or price reduction relating to the same circumstances may be taken into account in order to avoid overcompensation, as permitted by applicable law.
10.6 Independent Services
Veditalia is not responsible for the performance of travel services or other arrangements independently purchased or arranged by the Traveler and which do not form part of the package travel contract.
These may include, for example:
- flights purchased independently by the Traveler;
- accommodation before or after the scheduled package;
- private transportation or transfers arranged independently;
- excursions, activities or other services booked directly with third parties; or
- any other service not expressly included in or subsequently incorporated into the package travel contract by Veditalia.
Any contractual rights or claims relating to such independently arranged services must be addressed to the relevant service provider, without prejudice to any responsibility that Veditalia may have under mandatory applicable law.
Travelers are referred to Section 3.3 for recommendations concerning the purchase of independent flights before the Departure Confirmation is issued.
Section 11 — Complaints & Dispute Resolution
If Something Does Not Meet Your Expectations
Veditalia is committed to delivering every package holiday with professionalism and care. If, despite our best efforts, a Traveler believes that any aspect of the package has not been performed in accordance with the travel contract, we encourage the matter to be raised promptly.
Timely communication allows us to investigate the issue, involve the relevant suppliers where necessary and, whenever reasonably possible, resolve the matter during the tour.
11.1 Formal Complaints
Where a matter reported during the tour remains unresolved, or where the Traveler otherwise wishes to submit a formal complaint concerning the package, the complaint should be submitted in writing to Veditalia.
The complaint should include, where relevant:
- the Booking Reference;
- the Traveler’s full name and contact details;
- a clear description of the matter;
- the relevant dates, locations and services concerned; and
- any supporting documents, photographs, receipts or other evidence reasonably available.

Submission of a formal complaint does not replace the Traveler’s obligation to report any perceived lack of conformity during the performance of the package without undue delay, where the circumstances reasonably allow, in accordance with Section 10.2.
Travelers are encouraged to submit any formal complaint as soon as reasonably practicable, particularly where the matter requires Veditalia to obtain information from third-party service providers or review operational records. Any delay in submitting a formal complaint will not, by itself, affect any mandatory rights available to the Traveler under applicable law.
11.2 Review and Handling of Complaints
Veditalia will review formal complaints taking into account the information provided by the Traveler and any relevant information reasonably available from the Tour Leader, operational staff and service providers involved in the performance of the package.
Where reasonably necessary to assess the matter, Veditalia may request additional information or supporting documentation from the Traveler.
Veditalia will seek to investigate the complaint and provide a substantive response within a reasonable period, taking into account the nature and complexity of the matter and the time reasonably required to obtain relevant information from the parties involved.
The Traveler’s cooperation in providing reasonably requested information may be necessary for Veditalia to conduct a complete assessment of the complaint.
Section 12 — Privacy & Data Protection
Respecting Your Privacy
Veditalia recognizes the importance of protecting personal information and is committed to processing personal data responsibly, transparently and in accordance with applicable data protection legislation.
Personal information is collected only to the extent necessary for organizing, administering and delivering the package holiday.
12.1 Data Controller and Processing of Personal Data

Personal data may be processed where necessary for purposes connected with the booking and performance of the package, including:
- managing booking requests and travel contracts;
- organizing and coordinating travel services;
- communicating with Travelers before, during and after the tour where necessary in connection with the booking;
- arranging the Travel Protection Formula selected by the Traveler;
- coordinating accommodation, transportation and other included services;
- providing customer and operational assistance;
- managing payments, administrative matters and complaints; and
- complying with applicable legal, regulatory, accounting and contractual obligations.
The applicable legal basis for each processing activity may include the performance of the travel contract or pre-contractual measures, compliance with legal obligations, legitimate interests pursued by Veditalia or third parties where applicable, and the Traveler’s consent where required by law.
12.2 Special Categories of Personal Data
Where a Traveler voluntarily provides information concerning health conditions, allergies, reduced mobility or other information constituting special categories of personal data, such information will be processed only where necessary and in accordance with the requirements of applicable data protection legislation.
Where required, Veditalia will obtain the Traveler’s explicit consent or rely on another lawful condition applicable to the processing concerned.
Travelers should provide only information reasonably necessary for Veditalia to assess or facilitate the relevant request or assistance.
12.3 Sharing of personal data
Where necessary for the purposes connected with the booking or performance of the package, personal data may be disclosed to relevant recipients, including:
- accommodation providers;
- transportation providers;
- local guides and other service providers involved in the performance of the package;
- restaurants or venues where necessary for the provision of requested services or dietary requirements;
- insurance providers and insurance intermediaries;
- payment and technology service providers; and
- public authorities or other entities where disclosure is required or permitted by law.
Only personal data reasonably necessary for the relevant purpose will be disclosed.
Depending on the circumstances and their respective roles, recipients may process personal data as independent data controllers or as processors acting on behalf of Veditalia. Further information is provided in the Veditalia Privacy Policy.
12.4 Privacy Policy and Traveler Rights
Personal data will be retained for the periods required by the purposes for which they are processed and by applicable legal, contractual, accounting and regulatory requirements, as further described in the Veditalia Privacy Policy.
Subject to the conditions established by applicable data protection legislation, Travelers may exercise their rights in relation to their personal data, including, where applicable, the rights of:
- access;
- rectification;
- erasure;
- restriction of processing;
- objection to processing;
- data portability;
- withdrawal of consent at any time where processing is based on consent; and
- lodging a complaint with the competent supervisory authority.
Withdrawal of consent does not affect the lawfulness of processing carried out before the consent was withdrawn.
Complete information regarding the processing of personal data, applicable legal bases, retention periods, recipients, any transfers of personal data outside the European Economic Area, the exercise of data protection rights and all other information required under applicable data protection legislation is provided in the Veditalia Privacy Policy, available on the official website.
The Privacy Policy is a separate information document and does not form part of the travel contract unless expressly stated otherwise.
Section 13 — Governing Law & Jurisdiction
Applicable Law
These General Terms and Conditions and every package travel contract concluded with Veditalia shall be governed by the laws of Italy.
Nothing contained in these Terms limits or excludes any mandatory rights granted to Travelers under applicable consumer protection legislation.
13.1 Governing Law and Mandatory Consumer Rights
These General Terms and Conditions and the travel contract shall be governed by Italian law.
Where the Traveler qualifies as a consumer, this choice of law shall not deprive the Traveler of any protection afforded by mandatory provisions of law that cannot be derogated from by agreement and that would otherwise apply under applicable rules of private international law.
Where any provision of these General Terms and Conditions conflicts with mandatory applicable law, the mandatory provision shall prevail to the extent of the conflict.
13.2 Jurisdiction
For Travelers acting as consumers, jurisdiction shall be determined in accordance with the mandatory provisions of applicable consumer protection law and applicable rules governing international jurisdiction.
For all matters not subject to mandatory consumer jurisdiction, the Court of Milan, Italy, shall have exclusive jurisdiction.
13.3 Severability
If any provision of these General Terms and Conditions is found to be invalid, unlawful or unenforceable, in whole or in part, the validity and enforceability of the remaining provisions shall not be affected.
To the extent permitted by applicable law, the invalid, unlawful or unenforceable provision shall be interpreted or replaced so as to reflect as closely as reasonably possible its original purpose while remaining legally valid and enforceable.
13.4 No Waiver
Any failure or delay by Veditalia in exercising or enforcing a right or remedy under the travel contract shall not, by itself, constitute a waiver of that right or remedy.
Any waiver by Veditalia shall apply only to the specific circumstances for which it is expressly given and shall not constitute a continuing waiver of the same or any other right or remedy.

Operational contact details applicable during the tour, including any emergency assistance numbers and contact details for the Tour Leader or relevant Veditalia personnel, will be provided to the Traveler in the Travel Documentation.
Travelers should ensure that such contact details remain readily accessible throughout the tour.
14.3 Insurance Contacts
For matters relating to insurance coverage, medical assistance or insurance claims, Travelers must refer to the applicable Official Insurance Documentation and use the contact details and procedures indicated by the Insurance Provider.
Veditalia Customer Support may assist with providing booking documentation reasonably required for an insurance claim but does not assess coverage, approve or reject claims, or determine insurance reimbursements.
