Booking & Participation

How do I book Italy in a Week?

You can book Italy in a Week through our official website by selecting your preferred available departure and completing the online booking process.

Bookings may also be accepted through authorized travel agencies or other sales channels expressly approved by Veditalia. Submitting a booking request does not by itself mean that the booking has been accepted.

When does my booking become confirmed and legally binding?

Your booking becomes legally binding once:

  • Veditalia has accepted your booking request;
  • the required €300 deposit, or the full Total Package Price where applicable, has been received; and
  • Veditalia has issued your Booking Confirmation and Travel Contract.

Until the Booking Confirmation and Travel Contract has been issued, the travel contract has not been concluded.

What information will I find in my Booking Confirmation and Travel Contract?

Your Booking Confirmation and Travel Contract contains the key details specific to your booking, including your selected departure and travel dates, the services purchased, the Total Package Price, your selected Travel Protection Formula, the applicable payment schedule and any special conditions expressly accepted by Veditalia.

We recommend checking it carefully as soon as you receive it and contacting us promptly if you notice any incorrect or missing information.

Does receiving my Booking Confirmation and Travel Contract mean that my departure is confirmed to operate?

Not necessarily.

For bookings made more than 60 days before departure, confirmation of your individual booking is separate from confirmation that the minimum number of Travelers required for the departure has been reached.

Once the required minimum number has been reached, Veditalia will issue a Departure Confirmation. In all cases, Veditalia will determine whether the departure will operate no later than 60 days before the scheduled Departure Date.

For bookings made 60 days or less before departure, only departures that have already been confirmed to operate can be booked.

Can I book Italy in a Week if I live in the United States?

Yes, in most cases. However, due to specific travel seller regulatory requirements, Veditalia is currently unable to accept direct bookings from persons resident in or otherwise purchasing the package from California, Florida, Hawaii or Washington.

If you are in one of these States, you may contact a licensed or duly registered travel advisor or travel agency in your State to determine whether they are able to arrange the booking in compliance with the applicable local requirements. The availability of this alternative cannot be guaranteed.

Direct bookings from other U.S. States may be accepted subject to the standard booking requirements.

Can children and minors join Italy in a Week?

Yes. Travelers under 18 may participate, but Veditalia does not accept bookings for unaccompanied minors.

Any Traveler under 18 must travel throughout the package with a parent, legal guardian or another adult duly authorized by a parent or legal guardian.

Where required, the accompanying adult is responsible for ensuring that the minor has the necessary identification, parental consent and other applicable travel documentation.

I previously saw a departure on the website, but it is no longer available. Why?

A departure may no longer be displayed or available for booking because it has reached its maximum capacity, because bookings for that departure have closed or because the applicable booking deadline has passed.

If you are interested in a departure that is no longer displayed, you may contact Veditalia to check whether any availability remains.

Can one person make a booking for several Travelers?

Yes. One person may make a booking on behalf of additional Travelers, provided that they are authorized to do so.

The person making the booking is responsible for making the relevant contractual and travel documentation available to the other Travelers included in the booking and for communicating information relevant to their participation in the package.

What information do I need to provide when booking?

You must provide complete and accurate information for the Travelers included in the booking. Depending on the booking requirements, this may include:

  • full legal name exactly as shown on the relevant travel document;
  • date of birth;
  • nationality;
  • contact details; and
  • emergency contact information where requested.

Please check your Booking Confirmation and Travel Contract carefully after receiving it and let us know promptly if any information is incorrect or incomplete.

Can I make a special request when booking?

Yes. You may tell us about special requirements or preferences when making your booking, including dietary requirements, food allergies, mobility requirements, room preferences or relevant medical considerations.

Veditalia will make reasonable efforts to accommodate such requests where operationally possible. However, a special request forms part of your travel contract only if it has been expressly confirmed in writing by Veditalia, and some requests remain subject to the availability and policies of the relevant service providers.

I made a payment but did not receive my Booking Confirmation. What should I do?

First, check your spam or junk email folder.

If you still cannot find your Booking Confirmation, or if you experienced a technical problem during the booking process after making a payment, please contact Veditalia at [email protected] or by telephone at +39 02 45 37 06 60.

Please note that payment alone does not confirm a booking. A booking becomes binding only once Veditalia has accepted the booking and issued the Booking Confirmation and Travel Contract.

Prices, Payments & Discounts

What is included in the Total Package Price?

The Total Package Price includes the travel services expressly identified as included in your Travel Information and Technical Sheet and Booking Confirmation and Travel Contract, together with the travel insurance coverage associated with the Travel Protection Formula selected at booking.

Depending on your program, included services may cover accommodation, internal transportation, the services of the Tour Leader, local guides, specified meals and other services expressly identified as included.

What is not included in the Total Package Price?

Unless expressly stated otherwise, the Total Package Price does not include international flights, transportation to and from the tour starting and ending points, private airport transfers, optional experiences booked separately, meals and beverages not identified as included, personal expenses, passport or visa costs, gratuities or other services expressly identified as excluded.

Any service you purchase independently from a third-party provider remains separate from your Veditalia package.

How much do I need to pay when I book?

If you book more than 60 days before departure, you must pay a €300 deposit per Traveler at the time of booking. The deposit forms part of the Total Package Price and will be credited towards the outstanding balance; it is not an additional charge.

If you book 60 days or less before departure, the relevant departure must already have been confirmed to operate and the full Total Package Price must be paid at the time of booking.

When do I have to pay the remaining balance?

For bookings made more than 60 days before departure, the remaining balance becomes payable once Veditalia has issued the Departure Confirmation confirming that the departure will operate.

The outstanding balance must normally be paid within 7 calendar days from the Departure Confirmation, unless a different payment deadline is expressly communicated in your Booking Confirmation and Travel Contract or subsequent written payment communication.

What payment methods can I use?

You can pay using the payment methods made available through the applicable Veditalia booking channel.

Available methods may vary depending on the sales channel, your country of residence and the payment service providers available at the time of booking.

In which currency are prices shown?

Unless otherwise stated, Veditalia prices are expressed in Euro (€).

If you pay using an account or card denominated in another currency, any exchange rate applied and any currency conversion or other charges imposed by your payment provider or financial institution remain outside Veditalia's control.

Can the Total Package Price change after I book?

The Total Package Price is fixed when your booking is confirmed, subject only to the limited price revisions permitted by applicable package travel law and the Terms and Conditions.

A price revision may apply only as a direct consequence of changes in certain transportation or energy costs, taxes or fees imposed by third parties, or relevant exchange rates. Any increase must be communicated clearly in writing and cannot be applied within 20 days before the start of the package.

If a permitted price increase exceeds 8% of the Total Package Price, additional rights apply, including the possibility of terminating the travel contract without cancellation charges.

Do you offer promotional prices or promo codes?

Veditalia may occasionally offer promotional prices, early-booking offers or other limited-time promotions.

Any promotion is subject to the specific eligibility requirements and conditions communicated at the time of the offer. Unless expressly stated otherwise, promotional offers cannot be combined or applied retrospectively to bookings that have already been confirmed.

Do you offer discounts for children, students or seniors?

Children under 12 years of age on the scheduled Departure Date are eligible for a 30% discount from the applicable adult package price when they share one room with two full-paying adult Travelers, subject to the applicable room capacity and accommodation arrangements.

Veditalia does not currently offer a general student or senior discount unless a specific promotional offer states otherwise.

Is there a discount when three Travelers share one room?

Where triple occupancy is available and confirmed, the third Traveler receives a €150 discount from the applicable standard package price.

The specific sleeping arrangement may vary by hotel and may include an additional bed, rollaway bed or sofa bed. Triple occupancy remains subject to the capacity and availability of the relevant accommodation and must be expressly confirmed by Veditalia.

Is there an additional charge if I travel alone?

Yes. Travelers requesting sole occupancy are accommodated, unless otherwise stated, in a double room for single use.

The single room supplement is:

  • €400 for the standard 7-Day Program;
  • €700 in total where the 12-Day Extended Program is selected.

The supplement provides sole occupancy of the room but does not guarantee a larger room, superior category, particular view or specific room location. Single occupancy remains subject to availability.

Are local taxes included in the package price?

Taxes, fees and charges expressly identified as included form part of the Total Package Price.

Where a local tourist tax or similar charge must be paid separately at the destination, this will be disclosed before the booking is confirmed and, where reasonably possible, the applicable amount or basis of calculation will also be indicated.

Any such separately payable charge must be paid directly to the relevant accommodation provider or other authorized collecting entity.

Cancellations, Changes & Refunds

Can I cancel my booking?

Yes. You may cancel your booking at any time before the start of the package by notifying Veditalia in writing.

Your cancellation becomes effective on the date on which Veditalia receives your written notice. Depending on when you cancel, a cancellation amount may apply.

How do I cancel my booking?

Please send your cancellation request in writing to [email protected].

We recommend contacting us as soon as you know that you will be unable to travel, as the applicable cancellation amount is determined according to the date on which Veditalia receives your written cancellation notice.

An insurance claim, where applicable, does not replace the need to notify Veditalia separately of your cancellation.

Is my deposit refundable?

If you booked more than 60 days before departure and paid the €300 deposit, the deposit is refundable for 30 calendar days from the date Veditalia receives it, subject to any actual non-recoverable cost of nominative and non-refundable tickets already purchased specifically for you.

If no such ticket costs have been incurred and Veditalia receives your cancellation within that 30-calendar-day period, the €300 deposit will be refunded.

After the 30-calendar-day deposit refund period has expired, the applicable cancellation rules depend on how far in advance of departure Veditalia receives your cancellation.

If you booked 60 days or less before departure, no €300 deposit is required: the full Total Package Price is paid at booking. Any cancellation is therefore subject directly to the applicable cancellation rules based on the date on which Veditalia receives your cancellation notice.

What cancellation amounts apply if I cancel my trip?

The applicable amount depends on when Veditalia receives your written cancellation notice:

  • 30 days or more before departure, where no €300 deposit was required or you are still within the 30-calendar-day deposit refund period — no standardized cancellation amount is retained. Amounts paid are refunded, less any actual non-recoverable nominative ticket costs already incurred for you.
  • 30 days or more before departure, where you paid a €300 deposit and its 30-calendar-day refund period has expired — the €300 deposit is retained, together with any applicable actual non-recoverable nominative ticket costs. Any other amount paid is refunded.
  • 29 to 21 days before departure — 30% of the Total Package Price applies, together with any actual non-recoverable nominative ticket costs. To avoid double counting, the percentage is calculated excluding ticket costs retained separately.
  • 20 days or less before departure, including no-show — 100% of the Total Package Price is retained. No nominative ticket cost is added separately.

Where applicable, the €300 deposit forms part of the percentage cancellation amount and is not charged on top of it.

What happens if nominative tickets have already been purchased for me?

Certain included visits may require Veditalia to purchase nominative tickets in advance, such as tickets for the Last Supper or the Colosseum.

If a ticket has already been purchased specifically for you and its cost cannot reasonably be refunded, transferred, reassigned, resold or otherwise recovered by Veditalia, the actual non-recoverable cost may be retained separately when you cancel.

This may also apply if you cancel during the 30-calendar-day deposit refund period.

Where a percentage cancellation amount applies, the ticket cost is excluded from the amount on which that percentage is calculated, so that the same cost is not counted twice. If 100% of the Total Package Price is already retained, no additional ticket cost is charged separately.

Can I change my departure date after booking?

You may ask Veditalia to change your confirmed Departure Date, but changing to another scheduled departure is treated as a cancellation of your original booking and is therefore subject to the applicable cancellation rules.

Veditalia may exceptionally agree to move your booking to another available departure, subject to availability and operational feasibility, but this is not a contractual right.

If Veditalia agrees, any applicable price difference, administrative cost and treatment of amounts already paid will be communicated before the change is confirmed.

Can I transfer my booking to another person?

Yes, subject to the applicable conditions.

You may transfer the travel contract to another person who satisfies all the requirements for participating in the package. The transfer request must be communicated to Veditalia on a durable medium no later than seven days before the start of the package.

The original Traveler and the substitute Traveler are jointly responsible for any outstanding balance and for any actual additional fees, taxes or costs arising directly from the transfer. Veditalia will provide information about those costs and, upon request, evidence of them.

What happens if Veditalia cancels my departure because the minimum group size is not reached?

Italy in a Week operates with a minimum of 12 confirmed Travelers.

If the minimum number has not been reached, Veditalia will determine whether the departure will operate no later than 60 days before the scheduled Departure Date. If the departure is canceled for this reason, you will receive a full refund of all payments made for the canceled package, including the amount attributable to your selected Travel Protection Formula.

No cancellation charge will apply.

What happens if Veditalia has to cancel the trip for another reason?

Veditalia may cancel the package before departure where it is prevented from performing it because of unavoidable and extraordinary circumstances.

In such cases, Veditalia will inform you without undue delay and you will receive a full refund of all payments made for the canceled package, including the amount attributable to the selected Travel Protection Formula.

No cancellation charges will apply.

Services you purchased independently — such as separate flights, accommodation or transportation — are not normally refundable by Veditalia because they do not form part of the package, subject to any mandatory rights that may apply.

Can Veditalia offer me another departure instead of canceling my trip?

If Veditalia cancels a departure, we may offer you the opportunity to move your booking to another scheduled departure of Italy in a Week, where available.

You are not required to accept the alternative. If one is offered, we will tell you the applicable dates, price and any material differences before you decide.

If you decline the alternative, or if no suitable alternative is offered, you remain entitled to the refund applicable to the canceled original package.

How long will it take to receive my refund?

Where a refund is due following cancellation of the travel contract, Veditalia will process it without undue delay and, where required under the applicable cancellation provisions, no later than 14 days after termination of the travel contract.

The amount refunded will take into account any cancellation amount or actual non-recoverable nominative ticket cost properly applicable to your booking.

Are there situations where I can cancel without cancellation charges?

Yes. Mandatory law may allow you to terminate the travel contract without cancellation charges in certain circumstances.

For example, where unavoidable and extraordinary circumstances occur at the destination or in its immediate vicinity and significantly affect the performance of the package or the carriage of passengers to the destination, you may be entitled to terminate the contract without cancellation charges and receive a full refund of payments made for the package.

No additional compensation is due in these circumstances, subject to mandatory applicable law.

Travel Insurance

Is travel insurance included in my Italy in a Week booking?

Yes. Every Italy in a Week package includes travel insurance according to the Travel Protection Formula selected at booking: Standard or Flex.

The applicable travel protection is included in the Total Package Price and is not charged as a separate service.

What is the difference between the Standard and Flex Formulas?

The Standard Formula includes travel insurance coverage for travel assistance, medical expenses and baggage, subject to the applicable Official Insurance Documentation.

The Flex Formula includes the coverage provided under the Standard Formula together with additional Trip Cancellation Insurance.

The specific benefits, insured events, conditions, exclusions, limits and deductibles or excesses applicable to each Formula are set out exclusively in the Official Insurance Documentation.

Can I read the insurance conditions before I book?

Yes. During the booking process and before submitting your booking request, you will be given access to the insurance terms, conditions and pre-contractual documentation applicable to the available Standard and Flex Formulas.

We recommend reviewing the Official Insurance Documentation carefully before booking, particularly if you are considering the Flex Formula for its additional Trip Cancellation Insurance.

Why can't I see my insurance policy number when I book?

Your individual insurance policy or certificate is not issued at the time of booking, because your departure may still be awaiting confirmation of the minimum group size.

Once Veditalia has confirmed that your departure will operate and the Total Package Price has been paid in full, the applicable individual policy or certificate will be issued in accordance with the procedures of the Insurance Provider and provided or made available to you.

When will I receive my individual insurance policy or certificate?

It depends on when you book.

If you book more than 60 days before departure, your individual policy or certificate will be issued after:

  • Veditalia has confirmed that the departure will operate; and
  • the outstanding balance has been paid and the Total Package Price has been received in full.

If you book 60 days or less before departure, only departures already confirmed to operate can be booked. In this case, the policy or certificate is issued following confirmation of your booking and receipt of the full Total Package Price.

When does my insurance coverage start?

The date on which your policy or certificate is issued does not necessarily determine when each insurance guarantee becomes effective.

The effective date and duration of the applicable insurance coverage are determined exclusively by the Official Insurance Documentation and your individual policy or certificate.

Please refer to those documents for the exact terms applicable to each guarantee.

Does the Flex Formula mean that I can cancel my trip for free?

No.

Standard and Flex bookings are subject to the same Veditalia cancellation rules. Selecting the Flex Formula does not give you a right to cancel free of charge and does not remove any cancellation amount applicable under Veditalia's cancellation policy.

The difference is that, where the reason for cancellation is covered by the Trip Cancellation Insurance, an eligible cancellation amount may be reimbursed by the Insurance Provider, subject to the Official Insurance Documentation.

What should I do if I need to make an insurance claim?

If you need to make an insurance claim, please follow the procedures, deadlines and contact instructions set out in the applicable Official Insurance Documentation and your individual policy or certificate.

Insurance claims must be submitted to and are assessed by the Insurance Provider. Veditalia does not determine whether a claim is covered or the amount of any reimbursement, but may provide relevant booking documentation where reasonably required to support your claim.

If I cancel with the Flex Formula, will the Insurance Provider automatically reimburse me?

No. Insurance reimbursement is not automatic.

The Insurance Provider will assess your claim and determine whether the reason for cancellation is covered under the applicable policy.

Any reimbursement is subject to the insured events, conditions, exclusions, limits, deductibles or excesses, documentation requirements and other provisions contained in the Official Insurance Documentation.

What should I do if I need to cancel and I selected the Flex Formula?

There are two separate steps.

First, you must notify Veditalia in writing of your cancellation as soon as possible and in accordance with the applicable cancellation rules.

If your reason for cancellation may be covered by the Trip Cancellation Insurance, you must also submit a separate insurance claim directly to the Insurance Provider, following the procedures, deadlines and documentation requirements contained in the Official Insurance Documentation.

Submitting an insurance claim does not replace your cancellation notice to Veditalia.

Does Veditalia decide whether my insurance claim is accepted?

No.

Insurance claims are assessed, administered and settled by the Insurance Provider.

Veditalia does not determine whether an event is covered, approve or reject insurance claims or determine the amount of any insurance reimbursement.

Where reasonably required, Veditalia may provide booking documentation needed to support your claim.

What happens if only some Travelers in my booking need to cancel?

Where a booking includes several Travelers and only some of them cancel, the Veditalia cancellation rules apply separately to the portion of the booking relating to the canceling Traveler or Travelers.

If the canceling Travelers selected the Flex Formula, any insurance claim will be assessed separately by the Insurance Provider in accordance with the applicable Official Insurance Documentation.

Where the same insured event affects more than one insured Traveler on the same trip, any possible insurance coverage for other eligible insured Travelers is governed exclusively by the applicable Official Insurance Documentation.

Where can I find the full details of my insurance coverage?

The complete terms of your insurance coverage are contained in the Official Insurance Documentation and, once issued, your individual policy or certificate.

These documents govern the applicable benefits, insured events, effective dates, conditions, exclusions, limits, deductibles or excesses, assistance procedures and claim requirements.

The information provided in these FAQs is intended as a general explanation and does not replace the Official Insurance Documentation.

Before You Travel

Should I book my international flights before receiving the Departure Confirmation?

We strongly recommend waiting until you receive your Departure Confirmation before purchasing non-refundable or non-changeable international flights or other independent travel arrangements.

Until the Departure Confirmation is issued, the operation of the departure remains subject to the minimum group size.

If you choose to book flights earlier, we strongly recommend selecting an open, flexible, changeable and/or refundable fare, where available.

Are international flights included in the Italy in a Week package?

No. International flights and transportation to and from the tour starting and ending points are not included in the Italy in a Week package unless expressly stated otherwise.

Any independently purchased flight remains subject to the terms of the relevant airline or other provider and does not form part of your Veditalia package.

When should I arrive in Italy before the tour starts?

We recommend planning your journey so that you are in the starting destination in good time before the scheduled beginning of the program.

Where possible, arriving at least one day earlier can provide additional flexibility in the event of flight delays, cancellations or other travel disruptions.

International flights and any accommodation or transportation booked independently before the start of the package remain outside the Veditalia package unless expressly included in your booking.

What travel documents do I need?

You are responsible for obtaining and carrying all travel documents required for your journey.

Depending on your nationality and personal circumstances, these may include:

  • a passport or identity card;
  • any required visa;
  • entry authorizations;
  • health documentation; and
  • any other documentation required by the countries or service providers involved in your journey.

Requirements may vary depending on nationality and can change, so you should verify the rules applicable to you sufficiently in advance of travel.

Does Veditalia assist with visa applications?

Veditalia does not provide visa application services and does not complete, submit or manage visa or entry-authorization applications on behalf of Travelers.

We may provide general information concerning passport, visa or entry requirements, but you remain responsible for verifying the requirements applicable to your nationality and circumstances and for obtaining the necessary documentation within the required time limits.

When will I receive my final travel information?

Veditalia will provide the relevant travel documentation progressively throughout the booking process.

Before departure, you will receive or be given access to the final operational information applicable to your tour, which may include:

  • emergency contact details;
  • applicable vouchers or tickets;
  • final meeting and departure times; and
  • other practical information required for the operation of your departure.

Any subsequent updates to practical or operational arrangements will be communicated as appropriate.

When will I receive the joining instructions and Tour Leader contact details?

Your final operational information will include the meeting and departure details relevant to your tour and, where applicable, the contact details required for assistance during the journey.

These details will be provided in good time before departure.

If you believe you are missing important operational information shortly before your tour, please contact Veditalia at [email protected] or +39 02 45 37 06 60.

What should I do if I notice an error in my travel documents?

Please review your Booking Confirmation and Travel Contract and any subsequent travel documentation carefully as soon as you receive them.

If you notice an incorrect name, date, service or other booking detail, contact Veditalia promptly so that the matter can be reviewed.

Travelers are responsible for providing complete and accurate personal information, including names matching the relevant travel documents.

Do I need a travel adapter in Italy?

Italy generally uses Type C, F and L electrical sockets and operates at 230V / 50Hz.

Depending on the plugs and voltage requirements of your devices, you may need a suitable travel adapter. A universal adapter can be useful if you are traveling from outside Europe.

Luggage & Packing

Can I bring more than one piece of luggage?

Yes. Veditalia does not impose a fixed one-bag limit, so you may bring more than one item of luggage.

As Italy in a Week is an escorted multi-destination group tour, we ask that the overall number, size and weight of your luggage remain reasonable and suitable for group transportation.

Unusually large, heavy or excessive quantities of luggage may require prior arrangements. If they cannot reasonably or safely be accommodated in the transportation used for the tour, separate arrangements may be necessary and any resulting additional costs may be charged where applicable.

Do I need to carry and manage my own luggage?

Yes. Travelers should be able to manage and handle their own luggage independently where reasonably required.

Italy in a Week involves traveling between several destinations and hotels, and there may be occasions where you need to move your luggage for reasonable distances, including when boarding transportation or entering accommodation.

If you have reduced mobility or another condition that may affect your ability to manage your luggage independently, we recommend contacting Veditalia before booking so that the suitability of the tour and any reasonable practical arrangements can be considered.

What type of luggage do you recommend?

There is no required suitcase format, but we recommend choosing luggage that is practical, easy for you to handle and suitable for a multi-destination tour.

A manageable suitcase together with a smaller day bag or personal item is often the most convenient arrangement, but you are free to travel with more luggage provided that the overall amount remains reasonable.

Any specific restrictions applicable to a particular departure or transportation arrangement will be communicated in the Travel Information and Technical Sheet or other relevant Travel Documentation.

What should I pack for Italy in a Week?

We recommend packing according to the season, expected weather and activities included in your itinerary.

Useful essentials generally include:

  • comfortable walking shoes;
  • clothing suitable for the expected weather;
  • a light additional layer;
  • any personal toiletries and medication you normally require;
  • a reusable water bottle;
  • sun protection during warmer months;
  • suitable clothing for visits to religious sites where applicable; and
  • the travel documents and payment methods required for your journey.

You should also review the Travel Information and Technical Sheet and any final operational information provided before departure for any destination-specific requirements.

Where should I keep my passport, medication and valuables?

Passports, travel documents, medication, money, payment cards, electronic devices and other valuable or irreplaceable items should remain under your personal supervision whenever reasonably possible.

We recommend keeping these items with you rather than placing them in luggage stored in coach luggage compartments or otherwise leaving them unattended.

Where hotel safes or other secure storage facilities are available, you may also use them in accordance with the relevant hotel's instructions.

Can I leave my luggage on the coach?

Luggage may be carried in the designated storage areas of the transportation used during the tour where appropriate.

However, you should not leave valuable, essential or irreplaceable items in stored luggage. Passports, medication, money, payment cards, electronic devices and similar items should remain with you whenever reasonably possible.

Operational instructions concerning luggage storage or removal from the vehicle should always be followed.

What should I do if my luggage is lost, stolen or damaged?

Please report any loss, theft or damage as soon as reasonably possible to your Tour Leader and, where appropriate, to the relevant transportation provider, hotel, local authority or other responsible service provider.

A formal report may be required in some circumstances, particularly if you intend to submit an insurance claim.

Your applicable travel insurance may provide coverage for certain loss, theft or damage affecting baggage or personal belongings, subject exclusively to the applicable Official Insurance Documentation.

Your Tour & Itinerary

How large will my group be?

Italy in a Week is designed to operate with a minimum of 12 and a maximum of 30 Travelers per departure.

The actual number of participants may vary from one departure to another and is not guaranteed to reach the maximum group size.

What language will my tour be operated in?

Each Italy in a Week departure is operated in one confirmed Tour Language only: English or Spanish.

Departures are monolingual and are not operated simultaneously in English and Spanish.

You may select English or Spanish during the booking process. The confirmed Tour Language applicable to your departure will be communicated in your booking documentation.

What happens if I select Spanish but the Spanish-language departure cannot be confirmed?

Where Spanish is selected, its availability remains subject to confirmation by Veditalia no later than 60 days before the scheduled Departure Date.

If a Spanish-language departure cannot be confirmed, Veditalia will offer you the possibility of participating in the relevant departure in English.

You may either:

  • accept participation in English at the same Total Package Price; or
  • decline the proposed English-language arrangement and terminate the travel contract without cancellation charges.

If you decline, all payments made for the package will be refunded.

Will I have free time during the tour?

Yes. The Italy in a Week program is designed to combine organized activities and visits with opportunities to enjoy destinations independently.

Where free time is included in the daily program, you may use it to explore, relax, shop or enjoy meals and activities at your own pace.

Your itinerary and the practical information communicated during the tour will indicate when and where you need to rejoin the group.

Can I explore independently during my free time?

Yes. During scheduled free time, you are welcome to explore independently.

You are responsible for returning to the communicated meeting point at the required time and for paying attention to any updated meeting or departure instructions.

Your Tour Leader may also provide practical suggestions regarding restaurants, attractions and areas to explore.

How much walking should I expect?

Italy in a Week includes walking through historic cities and destinations where you may encounter:

  • cobbled or uneven streets;
  • stairs;
  • periods of standing;
  • areas with restricted vehicle access; and
  • locations where step-free access may not always be available.

Travelers should be comfortable walking for reasonable periods and participating independently in the activities described in the itinerary.

Is Italy in a Week a fast-paced tour?

Italy in a Week is a multi-destination escorted tour, so some days naturally involve several visits, transportation between destinations and periods of walking or standing.

The program is designed to provide an organized and comfortable travel experience, but Travelers should be able to participate independently in the planned activities and manage the normal physical demands associated with visiting historic Italian cities.

If you have reduced mobility or a medical condition that may affect your participation, we recommend contacting Veditalia before booking.

Can the itinerary change before or during the tour?

Yes. Group travel sometimes requires reasonable operational adjustments.

Changes may be necessary because of circumstances such as:

  • traffic or transportation disruptions;
  • weather conditions;
  • public events;
  • attraction requirements or closures;
  • safety considerations;
  • local restrictions; or
  • other operational circumstances.

Where reasonably possible, Veditalia will seek to preserve the services and overall experience described in the confirmed program.

What is the difference between a minor itinerary change and a significant change?

A minor change is an operational adjustment that does not materially alter the essential characteristics, overall quality or value of the package. Examples may include reasonable changes to meeting times, meeting points, the order of visits or transportation arrangements.

A significant change is one that materially affects an essential characteristic of the package, such as a substantial modification of an important part of the itinerary, removal of an important included service, a significant reduction in accommodation standard or a significant change in the duration of the package.

Where a significant change occurs before departure, you will be informed of the available options and may have the right to accept the change or terminate the travel contract without cancellation charges.

What happens if an included visit or activity cannot be provided as originally planned?

Where an included service cannot be provided as planned, Veditalia will, where reasonably possible and appropriate, seek to provide a suitable alternative and preserve a standard and value reasonably comparable to the original service.

Where the replacement is of lower quality or value, or where no suitable alternative can reasonably be arranged, any applicable rights to a price reduction or other remedy will be determined in accordance with the Terms and Conditions and applicable package travel law.

Transport & Tour Leader

Who is the Tour Leader?

Your Italy in a Week departure is accompanied throughout the journey by an experienced Tour Leader who coordinates the practical operation of the tour and supports the group along the way.

The Tour Leader helps manage the daily program, meeting and departure arrangements, communication with hotels, transportation providers and other suppliers, and practical matters that may arise during the journey. They can also provide general orientation and practical suggestions to help you make the most of each destination.

The Tour Leader is not a licensed local guide unless expressly qualified and acting in that capacity.

Is the Tour Leader also a local guide?

Not necessarily.

The Tour Leader is primarily responsible for the practical and operational coordination of the tour and is not a licensed local guide unless expressly qualified and acting in that capacity.

Where local regulations require guided services to be provided by an authorized professional, the relevant visit will be conducted by a suitably qualified local guide.

What means of transportation are used during Italy in a Week?

Depending on the program and operational requirements, transportation included in the package may be provided by coach, minibus, train, ferry, public transport or other appropriate means.

The type and size of vehicle used may vary according to the group size, route requirements, local regulations and operational conditions.

Will we always travel by coach?

No. While coach transportation is used for relevant parts of the itinerary, other appropriate means of transportation may also be used depending on the program.

Where reasonably necessary, one means of transportation may be replaced by another suitable alternative, provided that the change does not materially reduce the overall standard or essential characteristics of the package.

Will the coach have extra seating capacity?

Where reasonably practicable, Veditalia will provide a coach with seating capacity exceeding the number of Travelers in the confirmed group, allowing a more comfortable distribution of passengers during transportation.

Is there a toilet on the coach?

Coaches used for the tour are normally equipped with onboard toilet facilities.

However, for hygiene and sanitary reasons, use of the onboard toilet may be restricted or unavailable and therefore cannot be guaranteed.

Regular comfort stops will be scheduled during coach journeys at appropriate intervals, subject to route, traffic and operational conditions.

Can I choose my seat on the coach?

Travelers may use the seats made available during the journey in accordance with the practical arrangements communicated by the Tour Leader or transportation provider. Specific seating preferences cannot be guaranteed unless expressly confirmed.

Can Veditalia arrange airport transfers?

Airport transfers are not included in the standard package unless expressly identified as included in your booking.

Where available, Veditalia can arrange a private airport transfer as an additional service. Please contact us with your arrival or departure details and we will confirm availability and provide the applicable price before booking.

Hotels, Rooms & Meals

What type of hotels do you use?

Italy in a Week uses carefully selected 4-star business hotels or equivalent, chosen taking into account the itinerary, location, comfort and operational requirements of the tour.

Hotel classifications are based on the applicable local rating system and may not correspond exactly to classification standards used in other countries.

When will I know which hotels I will be staying at?

The accommodation applicable to your departure will be communicated as part of your travel documentation before departure.

Where hotel images or examples are displayed on the Veditalia website, they are intended to illustrate the general standard and style of accommodation and do not guarantee that your group will stay at the particular property shown unless that hotel has been expressly confirmed.

Can the hotels change before departure?

Yes. A planned hotel may occasionally need to be replaced for operational reasons, including availability or unforeseen circumstances.

Where a substitution is necessary, Veditalia will provide accommodation of the same category or a comparable overall standard, taking into account the characteristics and operational requirements of the tour.

A hotel substitution that does not materially reduce the overall standard or essential characteristics of the accommodation will not ordinarily constitute a significant modification of the package.

Can I choose between a double room and a twin room?

You may request either:

  • a double room, with one double bed; or
  • a twin room, with two separate beds.

Please communicate your preference when booking.

Room and bedding preferences are subject to hotel availability and cannot be guaranteed unless expressly confirmed in writing by Veditalia as part of your booking.

Can three Travelers share one room?

Yes, where triple occupancy is available and has been expressly confirmed by Veditalia.

Depending on the hotel, the room may use the existing bedding together with an additional bed, rollaway bed or sofa bed.

Triple occupancy is available only where the relevant room can safely and lawfully accommodate three people and remains subject to the configuration and availability of the accommodation provider.

What type of room will I have if I am traveling alone?

Travelers requesting sole occupancy are normally accommodated in a double room for single use.

Single occupancy does not necessarily mean a larger room, superior room category, particular view or specific location within the hotel.

The applicable single room supplement is explained in Prices, Payments & Discounts and is also indicated in your Booking Confirmation and Travel Contract.

Is Wi-Fi available at the hotels?

The hotels selected for the tour normally provide Wi-Fi.

Availability, connection quality, coverage and technical performance may vary by property and may be subject to the hotel's own operating conditions.

Can I do laundry during the tour?

Yes. The hotels selected for Italy in a Week provide access to laundry services or facilities, although the type of service, turnaround time and applicable charges may vary from one property to another.

Laundry services are generally not included in the Total Package Price and any applicable charge is payable according to the hotel's conditions.

What meals are included in Italy in a Week?

Italy in a Week includes 7 breakfasts and 7 dinners, together with any additional tastings or food experiences expressly identified in your program. Lunches are generally not included unless otherwise stated.

Please refer to your confirmed program for the exact meals and food experiences included in your departure.

Are drinks included with meals?

Unless expressly stated otherwise in your confirmed program, beverages are not included with meals.

Additional drinks may normally be purchased directly from the relevant restaurant, hotel or other food service provider.

Can you accommodate vegetarian, vegan, gluten-free or other dietary requirements?

Please tell Veditalia about any dietary requirements, food intolerances or allergies when booking or as early as possible.

We will communicate notified requirements to the relevant hotels, restaurants or food service providers and make reasonable efforts to facilitate suitable arrangements.

However, dietary requests remain subject to the availability and capabilities of the relevant service providers and cannot be guaranteed in every location unless a specific requirement has been expressly confirmed in writing as part of your booking.

What should I do if I have a serious food allergy?

Please notify Veditalia before booking wherever possible, or as soon as you become aware of the allergy.

We will communicate the information to the relevant service providers, but food is prepared in kitchens and facilities operated by independent suppliers and Veditalia cannot guarantee a completely allergen-free environment or the absence of cross-contamination.

Travelers with serious or potentially life-threatening allergies should also communicate their requirements directly to food service staff where meals are provided and take the personal precautions appropriate to their condition.

Optional Experiences & Extensions

Are optional experiences mandatory?

No. Optional experiences are entirely voluntary and are not required in order to participate in Italy in a Week.

If you decide not to take part in an optional experience, you may use the relevant free time independently, subject to the meeting and departure arrangements communicated for the group.

Are optional experiences private or shared?

Optional experiences may be shared with other participants and, depending on the activity, may also include guests who are not traveling as part of the Italy in a Week group.

Where available, a private experience or private guide may be requested. Any applicable availability and additional cost will be communicated before the service is confirmed.

How do I book an optional experience?

Where available, optional experiences may be selected during the booking process or added later by contacting Veditalia, subject to availability and any applicable booking deadline.

Before purchase, Veditalia will provide the main characteristics, price and any specific conditions applicable to the experience.

Once selected and confirmed, the optional experience will form part of your booking and will be identified in the applicable booking documentation.

Can I book optional experiences during the tour?

Where an optional experience is still available and operationally bookable, it may be possible to add it during the tour.

However, some experiences have limited capacity, require advance reservations or involve nominative tickets. For this reason, we recommend booking in advance where possible.

Availability cannot be guaranteed until the experience has been confirmed by Veditalia.

Are optional experiences refundable if I cancel?

Cancellation and refund conditions may vary depending on the specific optional experience.

Before you purchase an optional experience, any applicable cancellation, refund or other specific conditions will be communicated to you.

Where an experience involves nominative, non-refundable or otherwise non-recoverable tickets or services, this may affect the amount that can be refunded.

What happens if an optional experience booked through Veditalia cannot operate?

If an optional experience booked through Veditalia cannot be provided as planned, we will inform you as soon as reasonably possible.

Depending on the circumstances and the nature of the experience, Veditalia may offer a suitable alternative or provide any refund or other remedy due under the applicable booking conditions and mandatory law.

What if I book an excursion or activity independently?

Activities, excursions, tickets or other services that you purchase directly from a third-party provider do not form part of your Veditalia package.

They are governed by the terms, cancellation policies and other conditions of the relevant provider, and you are responsible for ensuring that they are compatible with the Italy in a Week schedule.

You must also make sure that you return to the group at the communicated meeting point and time.

What is the 12-Day Extended Program?

Travelers who wish to continue their journey after the standard 7-Day Program may select the 12-Day Extended Program, where offered for the relevant departure.

The extension adds five additional days to the core Italy in a Week program. The included destinations, accommodation, transportation, meals, activities and other services applicable to the extension will be identified in the relevant Travel Information and Technical Sheet and Booking Confirmation and Travel Contract.

Is the 12-Day Extended Program guaranteed to operate?

No. The extension has its own separate minimum requirement of 12 confirmed Travelers who have selected the extension.

Confirmation of the standard Italy in a Week departure does not automatically mean that the extension has also been confirmed.

Veditalia will confirm whether the Optional Tour Extension will operate no later than 60 days before the scheduled Departure Date of the core Program.

What happens if the minimum number for the extension is not reached?

If fewer than 12 confirmed Travelers select the extension, Veditalia may cancel the extension.

The cancellation of the extension is treated separately from the operation of the core Italy in a Week Program, and any amounts relating to the canceled extension will be handled in accordance with the applicable contractual provisions and mandatory law.

If the extension is canceled, can I still take part in the standard Italy in a Week Program?

Yes. The minimum participation requirement for the Optional Tour Extension is separate from the minimum required for the core Italy in a Week Program.

This means that the standard program may operate even if the extension does not reach its own minimum number of Travelers.

Is there a different single room supplement if I choose the extension?

Yes.

For the standard 7-Day Program, the single room supplement is €400.

If you select the 12-Day Extended Program, the total single room supplement for the entire package is €700.

This means €700 in total for the extended program, not €400 plus €700. Single occupancy is provided, unless otherwise expressly indicated, in a double room for single use and remains subject to availability.

During the Tour & Assistance

Who should I contact if I need assistance during the tour?

During the tour, your Tour Leader and Veditalia's operational staff are your main points of contact for practical assistance relating to the journey.

They can assist with operational matters, communication with hotels and other service providers, meeting arrangements and other difficulties that may arise during the package.

Relevant emergency contact details and practical travel information will be provided before departure.

What kind of assistance can Veditalia provide if I experience difficulties?

Depending on the circumstances, Veditalia may provide reasonable practical assistance by:

  • providing information about healthcare services, local authorities or consular assistance;
  • helping you make necessary communications;
  • helping you identify appropriate alternative travel arrangements;
  • facilitating communication with hotels, transportation providers or other suppliers; and
  • providing other reasonable practical support appropriate to the situation.

The nature of the assistance will depend on the circumstances and Veditalia's obligations under applicable law.

What should I do if I am delayed and may miss the start of the tour?

Contact Veditalia as soon as possible using the operational or emergency contact details provided before departure.

The group cannot necessarily delay the scheduled program to wait for a late Traveler. Where reasonably possible, Veditalia will provide practical information or assistance to help you join or rejoin the group.

If the delay is attributable to your own travel arrangements, you may be responsible for any additional transportation, accommodation or other costs required to reach the group.

International flights and other transportation purchased independently by you do not form part of the Veditalia package.

What happens if I am late for a meeting point during the tour?

You are responsible for being present and ready at the meeting points and times communicated by Veditalia, the Tour Leader, local guide or relevant service provider.

If you are late, the Tour Leader will make reasonable efforts to contact you where circumstances permit. However, the group may need to continue without you if waiting would disrupt the itinerary or affect transportation, reservations, guided visits or other Travelers.

If the delay is attributable to you, you will be responsible for arranging and paying for any transportation, accommodation or other services required to rejoin the group.

Veditalia will provide reasonable practical information or assistance where possible, but cannot guarantee that you will be able to rejoin the group in time for a missed activity.

Will I receive a refund if I miss an activity because I was late?

Normally, no.

Where a visit, transportation service, activity or other included service is missed because of a delay attributable to you, the missed service will not normally give rise to a refund or price reduction.

This does not affect any rights you may have where the delay results from circumstances for which Veditalia is legally responsible or any mandatory rights under applicable law.

Any possible insurance coverage is a separate matter and is governed exclusively by the applicable Official Insurance Documentation.

What should I do if something included in my package is not provided correctly?

Please notify Veditalia or your Tour Leader without undue delay if you believe that a service included in your package has not been provided, or has not been provided as agreed.

Reporting the issue promptly allows Veditalia to assess the situation and, where appropriate, take reasonable steps to resolve it while the tour is still in progress.

We also ask that you provide accurate information and give Veditalia a reasonable opportunity to address the issue where this is possible.

How can I make a formal complaint?

If a matter reported during the tour remains unresolved, or if you otherwise wish to make a formal complaint, please contact Veditalia in writing at [email protected].

Where relevant, your complaint should include your booking reference, full name and contact details, a clear description of the issue, the dates and services concerned and any supporting documents, photographs or receipts available.

A formal complaint should be submitted as soon as reasonably practicable.

What should I know about personal safety during the tour?

You should follow applicable local laws and regulations and any reasonable safety or operational instructions communicated by Veditalia, the Tour Leader, authorized personnel or the relevant service provider.

During free time, take normal precautions appropriate to the destination and keep passports, money, payment cards, electronic devices and other valuable or irreplaceable items under your personal supervision whenever reasonably possible.

If a safety or security issue arises during the tour, contact the Tour Leader or Veditalia's operational staff for practical assistance.

How much cash should I bring?

There is no fixed amount of cash required for Italy in a Week, as personal spending varies from one Traveler to another.

You should budget for expenses not included in your package, such as lunches or other meals not expressly included, beverages, personal purchases, optional activities and other personal expenses.

The currency used in Italy is the Euro (€). Payment cards are widely accepted, but you may also wish to carry a reasonable amount of cash for smaller purchases or situations where electronic payment is not convenient.

Health, Accessibility & Traveler Conduct

What should I do if I have a medical condition or reduced mobility?

If you have a medical condition, reduced mobility or another individual need that may significantly affect your participation in the tour, we recommend contacting Veditalia before completing your booking.

Providing this information in advance allows us to consider the suitability of the itinerary for your circumstances and whether reasonable practical arrangements can be made.

You should provide only the information reasonably necessary for Veditalia to assess or facilitate your request.

Is Italy in a Week suitable for Travelers with reduced mobility?

The tour includes historic city centers and destinations where you may encounter uneven pavements, cobbled streets, stairs, periods of standing and areas with limited or restricted vehicle access.

Travelers should therefore consider whether they can participate safely and independently in the planned activities, board and leave the transportation used during the tour and manage their personal belongings and luggage within reasonable limits.

If you are unsure whether the tour is suitable for you, please contact Veditalia before booking.

Is every location on the tour fully accessible?

Not necessarily.

Due to the nature of historic destinations, attractions, transportation arrangements and third-party facilities included in the itinerary, Veditalia cannot guarantee that every location or activity will be fully accessible or suitable for every Traveler.

If you have specific accessibility requirements, please contact us before booking. We can provide the information available to us concerning the itinerary and consider reasonable practical arrangements where operationally feasible.

Can Veditalia provide personal mobility or medical assistance during the tour?

Veditalia and the Tour Leader can provide reasonable practical assistance, but the tour is designed for Travelers who are able to participate independently.

The Tour Leader is not a personal assistant or medical professional and cannot provide continuous personal assistance, medical advice, diagnosis or treatment.

If your participation requires specific assistance, please contact Veditalia before booking so that we can assess what reasonable arrangements may be operationally feasible.

What should I do if I become ill or injured during the tour?

If you become ill, are injured or experience another health-related difficulty during the tour, please inform your Tour Leader as soon as reasonably possible if you require assistance.

Veditalia and the Tour Leader will provide reasonable practical assistance in helping you access appropriate medical or emergency services.

Neither Veditalia nor the Tour Leader provides medical advice, diagnosis or treatment. Where medical attention is required, you should seek assistance from an appropriately qualified healthcare professional.

Who pays for medical treatment or additional costs if I become ill?

Unless Veditalia is legally responsible for the circumstances giving rise to the cost, medical treatment, medication, additional transportation, accommodation or other expenses resulting from illness or injury remain the Traveler's responsibility.

Your applicable travel insurance may provide coverage or assistance for certain medical expenses and related services, subject to the Official Insurance Documentation.

Where the insurance documentation requires prior contact with or authorization from the Insurance Provider or its Operations Center, you should follow those procedures whenever circumstances reasonably permit.

What behavior is expected from Travelers during the tour?

All Travelers are expected to behave in a respectful, responsible and considerate manner throughout the tour.

This includes showing appropriate respect towards fellow Travelers, the Tour Leader, guides, drivers, hotel and restaurant staff, service providers, local communities and members of the public.

Travelers must also comply with applicable laws, local regulations and reasonable safety and operational instructions communicated during the tour.

What behavior could result in removal from the tour?

Where a Traveler's conduct seriously disrupts the tour, creates a health or safety risk, causes significant property damage or materially prevents the proper operation or enjoyment of the package, Veditalia may take reasonable and proportionate measures.

Serious misconduct may include:

  • violent, abusive or threatening behavior;
  • harassment or discriminatory conduct;
  • serious or repeated refusal to follow reasonable safety or operational instructions;
  • conduct that endangers other people;
  • intentional or reckless property damage;
  • unlawful conduct materially affecting the tour; or
  • serious or repeated disruption of the itinerary or other Travelers' experience.

Depending on the circumstances, measures may range from a warning or exclusion from a particular activity to, where reasonably necessary, termination of the Traveler's continued participation in the tour.

Will I receive a refund if I am removed from the tour because of serious misconduct?

Where participation is terminated as a direct consequence of the Traveler's own serious misconduct, no refund or price reduction will normally be due for services that remain unused as a result, to the extent permitted by applicable law.

The Traveler will also normally be responsible for arranging and paying for any additional transportation, accommodation or other services required following termination and may be responsible for reasonable costs or damage directly caused by their conduct.

Where immediate action is not reasonably necessary for safety or another serious reason, Veditalia will normally seek to address the situation through less restrictive measures before terminating participation.

Are harassment or discrimination tolerated on Italy in a Week?

No. Travelers are expected to treat other participants, staff, suppliers and members of the public respectfully.

Harassment or discriminatory conduct may constitute serious misconduct and, depending on its seriousness and the circumstances, may result in appropriate measures under Veditalia's Traveler conduct rules, including termination of participation where reasonably necessary.
